How to you provide a donation statement to clients?

We are a non profit that takes donations. I would like to provide clients with a record of donation amounts.

A/R statements on account are not donation statements.  They don't show the right data.

 

QB will not create proper donor statements, but you can do it with our BRC Donor Statements - QB Online  app.  It uses your QB Online data to create statements with no additional data entry.

 

They are complete with your custom text messages, the detailed donations for the year, and even your address and your donors return addresses for mailing.  Just fold them and mail them using windowed envelopes!

Thanks for reaching us out today. I can help you provide a donation statements to your clients. 

 

QuickBooks allows you to create statements. This shows the status of a customer's account at a particular point in time. Each line item represents sales transactions, credits, and payments.

 

Let me show you how:

  1. From the left menu, select Sales, and select Customers.
  2. Choose the customer you want to create a statement for.
  3. From the Actions drop-down, select Create Statement.
  4. Select the type of statement you want to create.
  5. Set the Statement Date, Start Date, and End Date.
  6. Select Apply to view the statement.
  7. Select Save.

You can also, create statements for multiple customers by following these steps:

  1. Select the Plus icon (+) on the Toolbar.
  2. Under Other, choose Statement.
  3. Choose the recipients.
  4. You can select Print or Preview at the bottom or select Save and close when you're done.

Hello there, wandaray,

 

Creating donor statements in QuickBooks Desktop will only take a few steps:

 

  1. Click Customers on the menu.
  2. Select Create Statements.
  3. Select the Statement Date.
  4. Under the SELECT CUSTOMERS option, click One Customer, then select the donor's name.

You can also pull up donor reports. Here's how:

 

  1. Click Reports on the menu.
  2. Select Industry Specific, then Nonprofit Reports.

We are a church and our donors donate to multiple funds.  For an annual or quarterly statement, can those funds be broken down and reported on as well as the total in a giving report to the donor.  We need to do this in batches , not just for an individual.

We have the Non-Profit Edition and none of the things discussed here work.  When I try to create statements for donors, it says that there are no invoices, payments, etc.  Help?!?

Thanks for joining the thread and bringing this to our attention, @ChurchLady79.

 

Creating donor statements needs to have transactions under a specific donor. To isolate the issue, let's check if you've record invoices and payments for the donor. 

 

Here's how:

  1. In the left menu, click Sales.
  2. Tap the Donors tab.
  3. Go to the Transaction List tab.

If there's a transaction, try to create statement again. Ensure to select the Transaction Statement as the Statement Type

There are transactions showing under the Customer/Donor.  I do not have an option for Transaction Statement.  The standard statement does not pull donations on to it.

Good luck. This has been a problem with QBO for YEARS and they obviously have no intention of solving it. Customer service on this issue is a total waste of time, they give you answers you're not seeking. I believe none of them understand non-profit organizations' needs and don't care to find out and bring solutions to the table. Their "suggestion box" is another waste of time, just designed to make you feel good, but they have no intention of listening.
