Question

I am looking where I can go through and edit the different expense categories that I have. There are so many different options and it takes forever.

There are just so many to choose from, but I only need a few that I use the most. Is there a place that I can go and remove the ones that I dont currently need?

Before making any changes, consult with your accountant to ensure it's your right decision.

 

You can deactivate unused accounts or those with zero balances easily. However, it is difficult to undo the deactivation of an account that has been used before. Accounts depend on each other, and deleting data from one can affect everything else.

 

If you've used an account previously or have a balance, making it inactive will create a journal entry that moves the remaining balance to another account. However, QuickBooks (QB) won't impact the balance or change the journal entry if you decide to use the account again. 

 

Additionally, default accounts in QB can't be deleted. Some accounts require extra steps before you can make them inactive. For more detailed information, visit this article: Make an account inactive on your chart of accounts in QuickBooks Online.

 

Once you're ready, you can follow these steps:

 

  1. Go to the Gear icon and select Chart of accounts
  2. Find the account you want to remove. 
  3. Select the Action dropdown and choose Make inactive
