I am not receiving an email notice when an invited contractor complete their W9 and banking details. How do I set this up?

You've come to the right place, InformationPlease.

 

When a contractor receives the email invitation to add their information and submit the form, their information and PDF of the signed W-9 are added to their profile in your account.

 

Here's how to check:

 

  1. Go to the Payroll menu and select Contractors.
  2. Choose the contractor's name.
  3. Click the Details tab to see the information and the Documents tab to look for a copy of the W-9.

 

If they haven't completed the data, you'll have the option to resend an invitation. However, if you do not have the option to resend the invite, the Personal details of your contractor have been completed. The resend email invite will only show if you haven't entered any personal information about the contractor.

 

To resend an invite:

 

  1.  Go to the Payroll menu and select Contractors.
  2. Select the contractor.
  3. Choose to Send a reminder.

 

Once received, they can check this guide to help along the process: Invite a contractor to add their tax info.

 

However, if your contractor didn't receive the email, you can contact them to ask for their information and record it manually. I'll guide you on how:

 

  1. Select the contractor you want to run.
  2. Click the Details, then select Waiting for info.
  3. Tap the Individual and Business radio buttons to add information.
  4. Once done, click on Save.

 

Additionally, contractors can claim they are exempt from backup withholding when they complete the W-9. Follow the IRS guidelines in Instructions for the Requester of Form W-9 for steps.
