Question

I am now using Quickbooks payments to issue vendor payments. If a payment is made via check from Quickbooks payments, where can I view a copy of the cleared check image?

This is important because if a vendor says they didn't receive the check and it's showing as having been paid (by the way where is that shown in the QB's UI?) how can I prove that the cash was indeed deposited/cleared?

Hello there, Tad.

I'm here to help you prove to your vendor that your cash has been deposited or cleared successfully.

If you're not using online banking within QuickBooks, you can directly confirm it through your financial institution whether the payment is already cleared.

If you're using QuickBooks Bill Pay, the option to view a copy of the cleared check image within QuickBooks isn't currently available. However, you can still view check images if you're using online Bank Feeds. Note that only limited banks support this feature.

Here's how:

  1. In the For Review tab, select a downloaded transaction that shows a number in the Attachment column.
  2. In the transaction details, select one of the Check Image attachments to view the front and back images.
  3. Review the transaction normally. Check images will be attached directly to the transaction if you need to view them later.

Furthermore, when you schedule a bill payment, you and the payee will receive an email confirmation. You and the payee will get another email confirmation once the bill payment is complete, and you can use this to prove your payment to your vendor.

Also, the check number is available after it's mailed to the vendor. After that, you can view the check number on the Bill Pay Payments page.

Moreover, you can also learn how to email your expense receipts and bills to get them into QuickBooks Online.
