I am trying to get my mileage deduction to reflect in my profit and loss statement.

I am trying to get my mileage deduction to reflect in my profit and loss statement. I have entered all the miles by uploading it from Mile IQ and I can see the miles in QB categorized as "Business". I have also registered my car and estimated my miles. But none of it transfers to my P&L and or my schedule C. 

I know this must something simple missing ... please advise as I have tried everything.

You’ve successfully imported your mileage data, but let's ensure these records are integrated into your Profit and Loss statement. This way, all your hard work translates into tangible financial benefits.

 

Although the Mileage tab in QuickBooks Online is excellent for tracking and calculating deductions, it’s important to note that these records don't automatically integrate into your main accounting figures. To ensure your mileage expenses are reflected in your statement, you’ll need to create a reimbursement expense. Here’s how you can do it:

 

Set Up a Vendor Profile:

  • Navigate to the Expenses menu, then click on the Vendors tab.
  • Select New Vendor.
  • Fill out all the required vendor information (if you are tracking your miles individually, you can input the vendor as yourself).
  • Once you're done, click Save.

 

Create a Mileage Reimbursement Expense Account:

  • Go to Settings ⚙, and then select Chart of Accounts.
  • Click New.
  • Choose Expenses from the Account Type dropdown menu.
  • Select Auto or Travel from the Detail Type dropdown menu.
  • Give this account a unique name for easy identification.
  • When you're finished, click Save and Close.

 

Set Up an Item for Mileage Reimbursement:

  • Navigate to Settings ⚙, and choose Products and Services.
  • Click New, then select Non-inventory.
  • Name the item and provide a description indicating it's for business mileage reimbursement.
  • In the Sales price/rate field, enter your reimbursement rate per mile.
  • In the Purchasing information section, select I purchase this product/service from a vendor and provide a description.
  • Select the mileage expense account you just created from the Expense account dropdown menu.
  • Once done, click Save and Close.

 

Create a Bill for Mileage Reimbursement:

  • Click + New, then choose Bill.
  • From the Vendor dropdown menu, select the vendor you created for mileage.
  • Expand the Item details section.
  • From the Product/Service dropdown menu, choose the mileage item you set up.
  • Update the Description, Qty, Rate, and Amount as needed.
  • Select the appropriate Tax.
  • If this is a billable expense for a customer, check the Billable checkbox.
  • When finished, hit Save and Close.

 

Record the Payment for the Reimbursement Expense:

  • Click + New, then select Pay Bills.
  • Choose the Payment account and the vendor to reimburse (yourself or an employee).
  • Once done, click Save.
