It's nice to see you here in the Community, Danielle.

Let me share information on how to handle payments when your customer overpays you.

QuickBooks Online (QBO) provides options to either refund the excess amount or use the credit towards an invoice.

If you want to apply the credit to an existing invoice, you can follow these steps:

  1. In the left menu, select the + New button.
  2. Choose Receive payment.
  3. Select the customer, then the credit and the invoice.
  4. Choose another pending invoice.
  5. Enter the overpayment amount in its Payment column.
  6. Select Save and new or Save and close.

If there's no invoice created, follow these steps to apply the credit:

  1. In the left menu, select the + New button.
  2. Choose Invoice.
  3. Fill out the necessary information on the invoice.
  4. Select Save and close.
  5. In the left menu, select the + New button.
  6. Choose Receive payment.
  7. Select the credit and then Save and close.

To refund the overpayment, you can refer to this article and select the situation that best suits you: Record a customer refund in QuickBooks Online.

In case you have any other concerns regarding overpayments, feel free to ask in the Community, and I'll be happy to assist you.
