Question

I invited contractors to add personal details, but they're getting a message that the link has expired. Quickbooks doesn't give me an option to resend. What do I do?

Hi there, @404087. 

 

Welcome to the Community. Let me address your contractors concern so they can accept your invitation. 

 

You will have the option to resend the invite if contractors' Personal details weren't completed yet.

 

Here's how:

  1. Click on Workers.
  2. Select on Contractors.
  3. Select the contractor's name.
  4. Select Send a reminder.

If you do not have the option to resend the invite, chances are, Personal details of the contractor have been completed. Follow the steps 1-6 in sending an invite to existing contractors to make the Send a reminder link available.

Since the update (two or three) the resend email option is missing and I have no way to get our contractors to fill out their information. The link they have is expired (seems to only be good for a couple days which is hard when you have part-time contractors and traveling contractors - some don't get around to it for several weeks as they're super busy and working more than one job. This is frustrating and should not be this hard considering the cost and charges being incurred for every little thing.

I'm having the same issue - the link expired after a few hours and there is no resend link displayed anywhere on the contractor page.

The most possible reason why you're unable to see the Send a reminder button is due to a browser issue. If you haven't yet, please perform some troubleshooting steps. Let's first use an incognito window and send the reminder from there. 

  1. Go to the Payroll tab and select Contractors.
  2. Select the contractor’s name.
  3. Click the Send a reminder link.

These are the shortcut keys:

  • Safari: Command + Shift + N
  • Google Chrome: Ctrl+ Shift + N
  • Mozilla Firefox: Ctrl + Shift + P

I also suggest clearing the cache since it causes errors in QuickBooks Online. Lastly, make sure that the browser is updated or use a different one.

 

If this behavior continues, please don't hesitate to reach out to our Customer Support Team so they can further check this. The new "Help" menu interface: 

  1. Click the (?) Help icon and choose the Talk to a human option (then type it again when prompted).
  2. When asked by the bot, type "Invite Contractor​​​​​​​."
  3. Select I still need a human, then proceed with Contact us.
  4. Tap Let’s talk then choose either Get a call or Start messaging

For the old "Help" menu:

  1. Click the Help icon, then the Contact Us button.
  2. Type "Invite Contractor​​​​​​​" in the What can we help you with box.
  3. Proceed with the Let's talk button.
  4. Select either Start messaging or Get a call button.

I'm also having the same problem. Tried different browsers, clear cache, incognito and still not working. any other suggestions. This really is frustrating

This continues to be an issue for me as well. Very frustrating. Cache / Cookie clear do not fix the problem. 

 

Tell your developers to just leave the `Resend invite` button as always available! Why hide it? Who are you trying to protect? Seems like a waste of business owner's time and your support team's for such a simple product fix.

I can see how seamless it would be to have the Send a reminder link on the contractor's profile. I'm here to make sure that you'll be able to resend the invite.

 

Usually, the link is missing once the contractor's personal details (business name, email, address, and others) are already added to the system. To isolate the issue, you need to make the contractor's name inactive, then recreate it with the correct email address.

 

Here's how:

 

  1. On the contractor's profile, click on the drop-down arrow under Active.
  2. Tap on Mark as inactive, then go back to the Contractors page.
  3. Select Add a contractor.
  4. Input the correct name and email address.
  5. Hit on the Add contractor tab.

Hi Angelyn,

 

The link is not available after the contractor clicks the link and they receive a "Link has expired" message.

 

BEFORE the contractor clicks the link I can see the "send a reminder" link.

AFTER the contractor clicks the link this link is no longer active for me.

 

I know that you think the issue is because the user has already submitted their information. But it is not. I already called Quickbooks support team today and here is an order of operations on what happened.

 

January 22nd

1. Add Contractor A to QuickBooks via Contractors > Add Contractor workflow.

2. Send Invite to Contractor to fill out their own information . 

 

January 23rd

3. Contractor A notifies me they have clicked the link in the email and the "link has expired". (It has been less than 24 hours and the link should not expire in such a short period. Obviously something is wrong with the links being sent from Quickbooks Online emails.)

4. I log in to QuickBooks, and cannot see a `Send a Reminder` link.

5. I search online for help and find this article.

6. I clear my cache and my cookies in my browser.

7. I log back into QuickBooks. No link is visible.

8. I contact QuickBooks Help and request a phone call. 

9. Rebecca (Case# [removed]) directs me to make this Contractor A inactive. 

10. I create a new Contractor A.v2 and send the invite again.

11. I instruct Contractor A to please register their information.

12. Contractor A clicks the link and the system informs them they've been locked out of the account. They were just logged into Quickbooks 20 minutes prior attempting the first link.

13. I wait 20 minutes. 

14. Contractor A tries to login again, this time they once again get the "Link has expired" message. It has only been 20 minutes since I issued the reminder so it should not have expired. 

15. We give up, I take down his information manually.

 

As I pointed out to Rebecca, this service from Quickbooks is obviously broken, as evidenced by the many complaints here.

 

I'm sure that someone, somewhere within the Quickbooks enterprise is a qualified UX Expert and can speak to a simple solution to fix this:

 

just always display the button! Why do you hide it ever even after the contractor has attempted to click the link and the session gets corrupt?

 

After speaking with your UX Expert, perhaps put a Back-End Engineer on the problem and figure out why these links keep expiring? Someone built something poorly, and it seriously hampers the operations and productivity of businesses who are affected and counting on QuickBooks to deliver a stable product and services.

Let me share additional insights about the Send email or Send a reminder link, larceme.

 

Take note this option will only show if you haven't entered any personal information about the contractor. If you want your contractors to add their own 1099 tax details, you may need to deactivate them. Then, recreate their profile with the updated email address to resend the invite. You can follow the steps provided by my colleague, Angelyn_T to be guided in doing the process.

 

However, if you're still unable to view this option, I'd recommend performing some basic troubleshooting steps. There are times that the browser is full of frequently accessed page resources causing errors and missing interfaces in QuickBooks. You can start by accessing your account using a private browser. Here's how to open the window:

 

  • Google Chrome: Press Ctrl Shift N
  • Mozilla Firefox: Hold Ctrl Shift P
  • Microsoft Edge: Press Ctrl Shift P
  • Safari: Hold Command Shift N

If you're able to send the invite successfully, you'd want to go back to your regular browser and then clear its cache. This will delete the accumulated site data and improve your browsing experience. You can also use other compatible browsers to further isolate the issue.

This doesn't work. I've tried everything in this article including activate/ deactivate and it doesn't work. Why in the world has someone not prioritized this to the programming team? I don't understand why there wouldn't always be a button there to have them fill out details and/ or complete a 1099. Also, in this thread, you point out "updated email." What if the email address hasn't changed but you are just trying to resend the link from your less than average online accounting software? That isn't a solution!
