Question

I keep being asked to add a vehicle when tracking business miles on the app. Now I have 3 vehicles listed on my computer view all for the same one. How do I consolidate?

Hello there.

Thank you for reaching out regarding tracking business miles and consolidating vehicles in QuickBooks Online (QBO). I'm here to assist you with this matter.

While we can't consolidate vehicles in QuickBooks Online directly, I have a workaround that can help you achieve this. You'll need to delete the other vehicles and select one to choose as your main vehicle. Here are the steps you can follow to consolidate multiple vehicle entries into one:

  1. Go to the Expenses tab and select Mileage to access the tracker.
  2. Head to the All tab and select all trips you have assigned to other vehicles.
  3. Reassign their trip details from the Vehicle dropdown to your chosen automobile. (For example, you have vehicles named Car1, Car2, and Car3. You can choose Car1 as your merging vehicle, so you can delete Car2 and Car3 after reassigning their trip details)
  4. Click Save.
  5. Click the dropdown button beside the Add trip button and select Manage Vehicles.
  6. Select the other vehicles with no trips and click Vehicle no longer in use.

It's important to regularly review your vehicle list and trip entries in the Mileage Tracker to avoid future duplication and to ensure accuracy in your mileage records. If ever you encounter mileage tracking issues, you can check out this article to learn how to handle it: Fix mileage tracking issues in the QuickBooks Online mobile app.

Please feel free to reply below if you need additional assistance in consolidating vehicles in QuickBooks Online. I'd be glad to help you anytime.
