Question

I'm trying to bill a customer for mileage to their office in another city. How can I bill that today so it will show up on their invoice at the end of the month? In QBO

Hi there, @SDM2

Thank you for reaching out to the Community. I am here to help you sort this out. We can create an invoice to your customer to bill it today. You just need to make sure you modify the date and specify it the date today. Let me show you how to create invoice:

  1. Click to + New then choose Invoice.
  2. Drop-down arrow and select the name of the Customer
  3. Enter Customer email. If you wish to send/notify the Customer about their invoice.
  4. Review the Invoice date. If you need to, change the due date in the Terms ▼ dropdown. Tip: Net refers to the number of days until the payment is due. The default is 30 days, but you can change the due date if needed.
  5. From the Product/Service column, choose a product or service. You can add new for specific product/service from the invoice.
  6. Enter a quantity, rate and change amount if necessarily.
  7. Add the Tax checkbox if you need to charge sales tax.
  8. Once done, select Save and send

You can send customers a link over SMS or a messenger service so they can view their invoice. When you're finished with an invoice, select the Save and send ▼ and then Save and share link. You can copy the link or select Copy link. Customers can view and pay for their invoices from the link.

You can run Invoice List by date report to double check the invoice is show up for this month.

AileneA,

Thank you very much for your quick reply, it was very kind!  My issue doesn't involve how to invoice, as I invoice my customers at the end of the month, every month and I know how to do that with no problem.   We are an engineering company that bills our customers for hours spent on their projects every month.  Normally in the engineers's time that I enter in "Weekly Time Sheets," I enter the Customer/Project and add hours each week for the billed time spent.  This situation is different in that I want to add mileage, i.e. the $0.54/mile for 130 miles to their next invoice that I will produce at the end of this month.  I don't know how to enter it as I would normal billing hours that are calculated as hours.  I hope I clarified what I am looking for.  The desktop version used to allow me to do this, but I don't know how on QBO.

Thanks again for your prompt and kind reply.

Thanks for coming back. I appreciate you for providing us in-depth details of your concern, SDM2.

In QuickBooks Online (QBO), use the Mileage feature to track your customers for hours spent on their projects every month.

Here's how:

  1. Click Mileage on the left menu.
  2. Select Add Trip.
  3. Enter the trip date, starting/ending locations, distance, and trip purpose.
  4. Tap Save.
