I need a report for unbilled time by job that includes the service rates and totals

Is there a report that would show me each month (or a date range) the billable time and the dollar amount (service rates) for all active jobs.

I need it to show:

1.  Active jobs

2.  Unbilled time (from employee timesheets) from specific date ranges

3.  The Rate associated with the Service Item.

4.  The total amount of what the invoice will be.

Any help would be greatly appreciated.

QuickBooks Desktop offers predefined reports that you can use. However, the option that you're looking in one report is currently unavailable. 

 

You might want to export each report into an Excel file and merge it into one Excel workbook. You can visit this link for available reports you can pull up in QuickBooks. Then, click on the Customize Report button to filter the data and add or delete columns.

I am looking for the same exact thing. Knowing this information is extremely important to my business. I am part owner of a service based professional services business. We bill time to jobs at a couple different rates but we do not invoice every week. What I would love to see in a report is something like this:

 

By Job:

Estimate: $10,000

Billed: $5,000

Worked But Not Billed: $2,000

Remaining: $3,000

 

This information is critical so we don't "overspend" a job. Quickbooks knows the unbilled time and knows the service item, so the information is all in the system. It just needs to put a dollar amount on the unbilled time. In fact, the information by job shows up in the Income Tracker. So it's all there. I just can't get it out in a report.

 

I currently have a memorized report that uses Time by Job and filters by "Unbilled." I have to export it to Excel and then apply our rates to the services. This is quite cumbersome because we work on many jobs simultaneously. Any help getting the exact information that is in the Unbilled section of the Income Tracker into a report would be greatly appreciated.

You have some fantastic ideas to add to the report feature, and I'll make sure to pass them along to our Development Team personally. They will then decide if the function for reports will be helpful to you and other users. In the meantime, you have the right idea about exporting the memorized reports to Excel and applying the service rates there. Since others seemed interested I will post what I came up with. This type of job costing report is critical to my business. Since this type of report was not available directly from Quickbooks, I went hunting for 3rd party software. I decided to download a trial version of Clearify QQube. I was able to produce this report with Excel/QQube with relative ease by modifying a built in job costing pivot table report. It looks something this:

 

 

The "Sales (Unbilled)" is the one we are all after. This value sums the unbilled time x service item.

 

QQube is not free and it requires configuration and setup to get the data from the Quickbooks company file. I am not affiliated with QQube in any way. I am still in my 15 day evaluation period but this looks very promising.

After all this time, I am still using QQube and Excel to generate the job costing report we are all after. I am happy to say it works extremely well, but it is disappointing this report isn't built in to QB. Even if QB made this report available, at this point, I'm not sure I would use it. I've customized my QQube/Excel report and utilize pivot tables to the point where I can sort by customer, approver, balance, job number, and more. Our administrator exports the QB database to QQube and generates this report for us once a week.

 

The unbilled time isn't what is most important. We need to know the dollar amount (time multiplied by service item) so we don't overspend between invoicing. We may have 50 jobs going on at any given time so doing this manually is a waste of time.

 

QQube is a great product and I would recommend it to others. We also use it to generate other reports, but these fall outside this discussion.

Anyone who bills within QuickBooks would need this report to stay on top of billing.  This is a BIG issue for us users.  I recently converted from Sage50 and they have a great report---please don't make me go back to them!  I would be happy to provide development a sample report from my "old" software, but I'm sure you would have access to the competition.   

Please beg for us users!  This is Very Important!

I see the importance of having this report in your business, @KCCPA.

 

I'd personally like to have a report that shows the data I need as this could make my work effortless. Rest assured, our engineering team is aware of this request and are looking for ways to have this in the future.

 

As a way around, you'll want to export any available reports to excel and combine it to show the data you need. You can refer to this link to guide you in customizing customer, job, and sales reports in QuickBooks Desktop.

 

While we don't have a particular time frame as to when this report will be available in QuickBooks Desktop (QBDT). I encourage checking our Product Updates page regularly to stay updated of the latest news and updates in QuickBooks.

Pull a "time by job summary" report then customize it on the filters tab.  Choose "billing status" then choose "unbilled".  Pull the range of dates you are looking for and it shows all jobs with time marked "billable" that has not been billed.

Piling on here.  It's ridiculous that the "Professional Services" Edition doesn't have these kinds of basic reports.  

 

Attached is one kind of report I'd like to see.  Just adding a column to the Billed/Unbilled Hours report that shows the income would be helpful.

 

Would also like to see this by Job.

I've also checked, Stulk. We're unable to add the income column in the Billed/Unbilled hours report.

 

I know it's beneficial to your business. For now, you can continue manually adding the info in the Excel report.

 

I also suggest sending us feedback. Our engineers will receive it directly. It will help us know our customers' ideas and insights about our software. Here's how:

  1. Click Help inside QuickBooks.
  2. Go to Send Feedback Online.
  3. Select Product Suggestion.

Once received, they will evaluate your feedback. The more request it has, the more it's likely to be added in future updates.

Checking in on this thread.  Looks like it has been active for almost a year at this point.  The capability that other users have outlined in this thread is capability I was expecting to be already built-in and available when I purchased the "Professional Services" edition of Quickbooks Desktop.  Unfortunately, managing everything via Excel is very time-consuming and can be prone to user-entry errors, especially across a large number of projects and billing rates. 

 

Please, please, add this reporting functionality.  All of the information is already in quickbooks (unbilled time, and bill-rate for that time).  Please just multiply them together.

I understand that exporting each report to Excel will consume time and extra effort. I want to ensure you'll be able to get the report you need.

I still need this report also.  I can't understand why it would be hard to create when hours and rates are there.

Simple multiplication.....  ??  It is very time consuming to save the information to an excel spreadsheet and enter my own calculations.  It seems this report is needed by a lot people.

It's incredible QB marks this as solved when the Moderator gave absolutely 0 solutions to this.

 

Unbilled time report is actually very easy to pull up by re-filtering a pre-canned report

 

I'm using QB Enterprise 23.0

 

Go to:

Reports

- Jobs, Time & Milage

- Time by Job Detail

Customize report

- Filters

- Billing Status

- Set to "Unbilled"

 

Gives you a report of all unbilled time by job.
