Question

I need detailed instruction on how I can people who may or may not be Employees do timesheets for contractors. Need steps on setup and process to do timecards.

Hello, @dgene84.

 

I’d like to provide you with steps to manage user role permissions for accessing timesheets in QuickBooks Online (QBO).

 

In QuickBooks Online (QBO), we have a Time Tracking role that allows invited users to track their own timesheets. Since you want users to be able to track timesheets for others as well, you can assign them the Standard Limited Customers and Vendors role. This role enables users to view, add, and edit entries and reports related to customers, vendors, products, and services.

 

  1. Go to the Gear icon and select Manage users.
  2. Click on Roles and then Add user.
  3. You’ll be directed to the Role Info section. Then, enter the required information.
  4. From the Roles dropdown, select the Standard limited customers and vendors role.
  5. Once you’ve customized the role, click Send invite.

Sorry this did not answer my complete question. 

 

I am still in need of assistance of how timesheets are done for contractors by those users that the instructions were provided for inviting. Also there is a desire to limit what they can see but have it where they have access to only doing time cards for contractors.

Once the invitation is accepted, users can begin tracking time. Here's how:

 

  1. Click on the +New button.
  2. Select Time Entry, Single time activity, or Weekly Timesheet.
  3. Choose a contractor from the list and select a customer.
  4. Begin adding time for the contractor.
  5. Once you're done, click Save.


Moreover, the capability to limit standards user's visibility to only timecards for contractors is unavailable. Currently, users will have broader access within the system and with that, I encourage you to submit feedback, so our team can consider adding this feature in the future updates. To submit feedback, here's how:

 

  1. Go to the Gear icon and then select Feedback.
  2. Type in your feature request in the description box.
  3. Once done, click on Next.


Moreover, you can always run any customer's report so you can manage all transactions. Then customize it to show the specific details. You can refer to this article to know more about the process: Customize Report.
