Hello there, carrieaskin.

I've got the steps to check the 1099 status in QuickBooks Online. I'll also ensure your contractors receive the tax form you prepared.

To start with, we’ll usually notify you of your filing status through email after you file your 1099s to the IRS. You can also check your filing status anytime in QuickBooks Online.

Here's how:

  1. Click the Taxes menu in the left panel.
  2. Go to the 1099 filings.
  3. View the 1099 status under Filing status which is located in between the Recipient's Copy and Actions columns.

You can then check the list of statuses below and what they mean.

  • Not Submitted: You haven't e-filed Form 1099-NEC or 1099-MISC with the IRS. You can continue revising it.
  • Submitted: You have e-filed the form to the IRS. Note: If you need to revise it, you may need to file a manual amendment. Use these IRS instructions and forms to do so.
  • Received by IRS: The IRS has received your form and is either processing it or has already processed and approved it. Customers who have submitted their 1099 E-File forms will receive a confirmation email approximately a week after the IRS accepts and confirms submissions. You may not receive this confirmation until the middle of January or later.

Then, e-filed 1099s forms submitted on or before January 28 are processed and postmarked to your contractors by January 31. Please note that the delivery of copies of the tax form is subject to the schedule of your United States Postal Service. You can contact their support to confirm the delivery timing so you know when contractors will receive the 1099.

However, if you don't use e-file, 1099s must be mailed to contractors directly.

Furthermore, you can also consider checking all the contractors' addresses specified in their profiles. This is to ensure that each of them has the correct info so that 1099 forms are promptly mailed to your contractors.

Lastly, you might find this article helpful for finalizing this year's payroll and preparing for the next using QBO Payroll: Year-end checklist for QuickBooks Online Payroll.

Don't hesitate to add comments below if you have other 1099 concerns, carrieaskin. I'm always here to assist you further. Have a good day!

So regardless of when we process our 1099s & the IRS accepts them, they still won't actually be mailed out until January 31st?

The status of my 1099s has shown as "mailed" for over a week, but many of my contractors are calling me asking where the statements are and I can't give them any info other than "I processed it on the 17th, and the status says 'mailed', so I don't know why you haven't received it".
This is ridiculous! They should be mailed as soon as the IRS approves, and the status should list the date of mailing, or should say that the form is 'pending mail' or something to give a more accurate status. I look like a fool to my contractors right now and feel like I have not gotten what I paid for in processing.

This is the second year in a row Quickbooks has done this to me! None of my vendors have received their 1099s. I was told if they didn’t get them 7 business days into February I needed to send them.
I’m sorry but I paid for a service that I did not get at this point, or it was done incorrectly.

Due to my experience last year, I completed the steps January 6th thinking that would be enough time, but apparently not

I understand that keeping track of 1099s and ensuring contractors receive them efficiently is crucial for your business, Brooks. To provide a better understanding of the 1099 process, I would like to share some additional information.

Generally, the 1099 forms are postmarked on January 31st, and the delivery time may vary depending on the United States Postal Service (USPS) and the contractor's address. It's possible that your contractor hasn't received their 1099s yet due to delivery delays or other unforeseen circumstances.

If your contractor hasn't received their 1099 form yet, I suggest contacting our QuickBooks Online Payroll Support team for updates on the status of the 1099 forms. Our team can assist you in tracking the forms and ensuring that they are delivered to the contractors as soon as possible.

To contact the QuickBooks Online Payroll team, please follow these steps:

February 28, 2024

It's been over a month and my contractors still haven't received their 1099 in the mail??

February 28, 2024

Hi there, ALLRIGGS.

I'm aware of how crucial it is for your contractors to get their 1099 forms via mail. Allow me to briefly discuss the matter with you.

Typically, the 1099 forms are postmarked or sent out by January 31st. However, the arrival time can differ based on the United States Postal Service (USPS) and the contractor's location. If your contractor hasn't received their 1099s yet, it may be due to delivery delays or unexpected and unforeseen circumstances.

With this, I recommend contacting our Customer Online Support to inquire about the forms' status. Our team can help track the forms and ensure prompt delivery to the contractors. Here's how you can reach them:

  1. Go to the Help menu and select the Search tab.
  2. Then, click Contact Us.
  3. Then, enter a brief description of your concern and select Continue.
  4. Lastly, choose either Start a Chat or Get a Callback to start connecting with them.

In the meantime, you might consider printing a copy of the 1099 forms and sending it to your contractors as an alternative.

Moreover, if you invited your contractors to enter their W9 information, they can create a free QuickBooks Self-Employed account, which they can use to review their 1099 forms after you've filed them. For more details about this, you may refer to this article: Fill out a W-9 and view your 1099-MISC in QuickBooks Self-Employed.

You can also visit our Tax forms page for more insights about adding and managing your tax forms.

Please keep us posted by replying here in the thread if you have questions or concerns about 1099 forms or other QuickBooks-related queries. I'll be here to help you and get you back to business. Take care!

My co tractors just reported that they received duplicate copies of their 1099s emailed to them on May 1st.  They are quite upset as they received them earlier this year too.  How is this possible?  Could I have triggered these duplicates being sent somehow?

February 2, 2025

This is still happening in 2025. I processed the 1099s on Jan 10 and QBO reported the status as "Mailed." But none of the contractors received them until Feb 1 at the earliest. Once again Intuit is downright lying.

Hello there, CleanH2O. We want your experience with QuickBooks Online to be seamless and stress-free, especially when dealing with 1099s. I'll help you connect with the right support team to ensure your contractors receive their forms.

A copy of the federal and state 1099s will be processed and postmarked to your contractor by January 31 (2025) if you e-file using our 1099 e-file service. Aside from that, you'll have to submit your e-filing on or before January 27 (2025), before 5:00 PM PT.

Since you can see the "Mailed" status in QuickBooks and your contractor hasn't received their 1099s yet, I recommend contacting our technical support team for follow-up. They have the necessary resources to ensure forms are mailed out accordingly.

Here's how:

  1. Sign in to your QuickBooks Online company.
  2. Select (?) Help and proceed to the Search tab.
  3. Key in a question or topic from the designated field, then click Contact Us at the bottom of the Help panel.
  4. Choose Chat or Callback to talk with an expert.

As you initiate the process above, please observe their support hours for convenience.

Additionally, you can access the forms and payments you've just submitted using our software. If you need to make necessary revisions, utilize this material as your guide: Correct or change 1099s in QuickBooks.
