Thanks for posting here in the Community forum, Dsosk. Let's work together on fixing the abnormality of your product & services item quantity (QTY) in QuickBooks Online (QBO).

Beforehand, if any items on your Products & services tab are out of stock, they will show up in the OUT OF STOCK section. To verify the exact quantity of the item, let's run the Inventory Valuation Summary report.

Here's how:

  1. Log in to your QBO account.
  2. Go to the Reports menu and select the Reports tab.
  3. Enter the Inventory Valuation Summary on the Find report by name search bar.
  4. Modify the Report period accordingly.
  5. Click Run report.

Check the item's QTY. If it's confirmed that the item should not be listed as out of stock, we can modify it's QTY by following the steps below:

  1. Go to the Sales menu and choose Product & services.
  2. Select the OUT OF STOCK icon.
  3. Under the Action column, click the dropdown arrow ▼ beside Edit. Then, choose Adjust quantity.
  4. On the New QTY column, enter the accurate QTY of the item.
  5. Once done, hit Save and close.

However, if the QTY shown on the report is zero, we can troubleshoot to determine if your regular browser is causing this issue.

To start, you can refresh your web browser and then try to check your item's QTY in QBO. Then, if you encounter the same issue, I suggest logging into your QBO account using a private browser. It restricts websites from using cookies and doesn't record any data history.

To open the incognito mode, please follow the shortcut keys below:

  • Safari: Command + Option + P
  • Google Chrome: Ctrl + Shift + N
  • Firefox or Internet Explorer: Ctrl + Shift + P

If there's no issue with your item's QTY on hand when using incognito mode, it's safe to say that this is a browser issue. We can fix this by clearing your cache and cookies.

Yet, if the issue persists, I recommend using another supported browser. For more information about this, you can check this article: System requirements for QuickBooks Online products.

In addition, I've added this helpful article as your guide on adding an accepted purchase order to a transaction in QuickBooks: Add purchase orders to expenses, bills, or checks in QuickBooks Online.
