I would like to have custom permissions for one of my users. It is a service tech that needs to be able to make invoices and receive payments out in the field

Hello there, @dcbroder. I would love to help you set your user that needs to make invoices and receive payments.

 

When setting custom permissions for users in QuickBooks Online (QBO), it depends on your subscription whether it's QBO Essential, Plus, or Advanced.

 

If you use QBO Essential or Plus, you can add a user with an Accounts receivable manager role. It can create Invoices, Receive payments, and more. You can check this article for an overview of the user roles and access permissions: User roles and access rights in QuickBooks Online.

 

Here's how:

 

  1. Go to the Gear icon, then select Manage users.
  2. Click Add user.
  3. Enter the information of your user.
  4. Select the dropdown arrow beside Select a role.
  5. Click Accounts receivable manager.
  6. Select Send invitation.

 

If you're using the QBO Advanced, you can create custom permissions for your user.

 

Here's how to add a new role:

 

  1. Go to the Gear icon and then select Manage users
  2. From the Roles tab, click Add role.
  3. Click the Sales drop-down.
  4. Tick the Invoices and Receive payments boxes.
  5. Hit Save role.

 

Once you're done, you can follow these steps to add the custom role to your employee:

 

  1. From the Manage users window, select Users.
  2. Click Add user.
  3. Add employee info and then choose the role that you recently created.
  4. Hit Send invitation.
