Question

Invoice numbers will randomly glitch and change to something like "112-00190...xxxxxxxxx" when it is supposed to be a consecutive 5 digit number like "19055".

Anyone else experience this and how to avoid the invoice # from resetting to a weird cadence?

I appreciate you taking the time to express your concern, @MLMC.

I understand the importance of the invoice numbers in QuickBooks Online (QBO). Let me help and provide information for you to fix the invoice that randomly glitches.

For starters, I suggest verifying if there are actions made by other users that affect the numbering sequence of invoices through the Audit Log. It can also be caused by the imported invoices lists from other apps or files.

To resolve this, you can create a dummy invoice using a 5-digit number following the last invoice number that was created example: If the last number is 19055, create a dummy invoice to manually enter #19056 then delete the dummy invoice after. QuickBooks will automatically follow this number moving forward. Also, to fix those invoices with the number: 112-00190...xxxxxxxxx. It's either you delete and recreate or edit them.

However, if the issue persists. I suggest contacting support to further check what's causing this and determine possible solutions.

I'll also add this article to guide you in personalizing and adding specific information to your sales forms: Customize invoices, estimates, and sales receipts in QBO.

Don't hesitate to leave a comment below. If you have follow-up questions about invoice numbers that randomly glitch or other QBO-related concerns. I will answer them in any possible way.
