I appreciate the steps you've taken, usermorita. Let's work together to make sure you can change the invoice email subject line of your account.

I've tried this on my account and I'm able to change it without getting an error. We can figure out if this has something to do with your browser's cache. Sometimes, excessive cache files can cause unexpected responses from QBO.

Please try changing your template using a private browser to see if you can successfully change it. You can use these keyboard shortcuts:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Safari: Command Option P

If it works, let's go back to your default browser and clear its cache. It removes browsing history causing glitches on your browser. Otherwise, use other supported browsers as an alternative.

To learn more information about customization, you can check out customize invoices, estimates, and sales receipts in QuickBooks Online.

If you're still getting the same results, I'd recommend contacting our Customer Care Support Team so they can further check on your account and troubleshoot it for you.

Keep on posting if I can be of any additional assistance concerning customizing your templates. I'll be happy to help.

Hi there, usermorita.

Generally, pledges will appear in QuickBooks Online when a user like you has selected their organization as a non-profit. With this, removing the word "Pledge" from the invoice email subject line is currently unavailable. However, you can change the name Pledge to Invoice from the Email Subject template. To do this, you'll need to go to the Custom Form Style.

Here's how:

  1. Select the Gear icon and click Custom Form Styles.
  2. Click New style in the top right-hand corner and choose INVOICE
  3. Choose the Emails tab.
  4. Change the Pledge name to Invoice under the Subject box.
  5. Hit Done.

Once done, you'll just need to manually select that template when printing or emailing the transaction. This is to make sure that when sending an invoice email, the word "Pledge" will not show.

I've already tried this. However, I got an error message "Pledge email subject must include 'Pledge'. "

We really need to an option to remove a word "Pledge" from the email subject line because our invoices are not always pledge. I hope we'll have it in the future version of QuickBooks Online. Thank you.

Hello there, @mew97a. I'm here to provide you with a workaround that will help you not use the pledge in your email.

The option to remove the "Pledge" from the invoice email subject line is currently unavailable. However, in the Email Subject template, you can modify "pledge" to "invoice." By heading to the Custom Form Style, you can change it.

Here's how:

  1. Go to the Gear icon and select Custom Form Styles.
  2. Click New style in the top right-hand corner and choose Invoice.
  3. Select the Emails tab.
  4. Change the Pledge name to Invoice under the Subject box.
  5. Then hit Done.

You'll only need to manually select that template when printing or emailing the transaction once you've finished. This is to ensure that the word "pledge" does not appear in an invoice email.

In case you want to learn how to personalize and add specific info to your sales forms, you can check out this article: Customize invoices, estimates, and sales receipts in QuickBooks Online.

I'm also adding this article in case you're ready to send an invoice nd learn how you can review it, you can refer to this article: Create invoices in QuickBooks Online.

Hi,

I've just tried this and got an error message "Pledge email subject must include 'Pledge.'" (see attached screenshot)

Although we're a nonprofit, we sell services. It's important that our invoices say "Invoice;" the word "pledge" would be confusing to our customers. I need the option to remove this word. I'm very unclear on why QuickBooks insists on me using it.

This is not the impression we want you to experience when using QuickBooks Online (QBO) for the non-profit organization version, fabman.

The Pledge appears in QBO when a user selected their organization as a non-profit. I know how beneficial it is to your business to remove the word "Pledge" from the invoice email subject line. However, this option is unavailable in QuickBooks Online (QBO). As a workaround, we can change the name Pledge to Invoice from the Email Subject template. Here's how:

  1. Go to the Gear icon and click Custom Form Styles.
  2. Click New style in the top right-hand corner and choose INVOICE.
  3. Select the Emails tab.
  4. Change the Pledge name to Invoice under the Subject box.
  5. Press Done.

Once done, manually select that template when printing or emailing the transaction. This is to make sure that when sending an invoice email, the word "Pledge" will not show. Here's an article you can refer to for more details about customizing Invoices, Estimates, and Sales Receipts.

Feel free to visit our Invoices and payments page for more insights about managing your company's income and sales transactions.

I'd be happy to hear any updates after performing the steps as I want to ensure this is resolved for you. Also if you have questions about running reports, please add a reply below. I'd be happy to assist you further.

I switched to an incognito tab as someone suggested but I kept getting an error until I wrote this in the subject line:

Invoice[Pledge No.]

You have to include the period behind No.

You can add additional words in the subject line but you must use [Pledge No.] to generate the invoice number in your subject line

I want to ensure you get the help you need about the pledge, @casandrah.

To make sure we're on the same page, I'd like to verify if you're trying to change the word pledge from the invoice email subject line. If yes, does the error messages you get is "You have to include the period behind No. You can add additional words in the subject line but you must use [Pledge No.] to generate the invoice number in your subject line"? If no, can you add more details? Any extra information is much appreciated.

We're looking forward to hearing from you. Have a great day!

Yes, I was trying to change Pledge from the email subject line on an invoice.  No, the error message was "you must enter pledge on the subject line".  I think as a work around, you are able to replace Pledge with Invoice but you must keep Pledge No. in the brackets

original entry on email subject line under custom style template:

Pledge[Pledge No.]

new entry

Invoice[Pledge No.]

Now, the invoice will say Invoice 98 in the email subject line
