Is it possible to save a customers credit card on QBO to charge outside of QBO at a later time?

I would like to save a customers credit card information on QBO and charge it later outside of QBO. Is this possible? If so, how? Or is there a better way to do this? Brand new here. 

 

Scenario: An emergency maintenance task comes up and I need to charge their credit card for supplies, materials, labor etc. I already have a signed credit card authorization form.

Hello there, ejd30. I appreciate you for providing a scenario.

 

Yes, you can keep your customer's credit card information on file. However, you can only view the last 4 digits of the card number after saving it for security purposes.

 

To do this, open your customer profile and add their credit card information from there. Before doing so, connect your payment account to your QuickBooks Online (QBO) account. This way, your customer's info will be saved, and they can also pay their invoices online. 

 

Here's how:

 

  1. Go to the Gear icon.
  2. Select Account and Settings
  3. Click the Payments tab and hit on Lean more.
  4. You may now start your set up. Choose either QuickBooks Payments or Existing account.
    • In the Existing account section, select Connect or Link Merchant Service.
    • In the window, select the QuickBooks Payment account you want to connect. Then select Connect.
  5. Review the account info and make sure it's accurate. If everything looks good, select Connect.
  6. When the connection is finished, sign out and sign back into QBO for the changes to take effect.

Once done, you can now add your customers' credit card information into their profile. You can refer to these steps below:

 

  1. Go to the Sales menu.
  2. Click the Customers tab.
  3. Locate and select your customer and click Edit.
  4. In your Customer profile select the Payments and billing tab.
  5. Select Credit Card from the Preferred payment method drop-down menu.
  6. Enter the needed information and click Save when done.

Thanks for the info! Am I able to charge that stored credit card outside of QBO? Such as if I needed to order supplies for that customer.

You're correct, you can be able to charge that stored credit card since you have the customer's credit card information. To proceed, you'll need to log in to the Merchant Service Center: https://merchantcenter.intuit.com/. Make sure that your login credentials are correct. Then, follow the steps below to continue:

 

  1. After logging in to the Merchant Service Center.
  2. Go to the Processing Tools and select Charge a Card.
  3. Complete the required fields. The information you add is only visible to you and the cardholder.
  4. You'll see a confirmation page after processing the payment. You will have the option to E-mailPrintVoid, or select Done.
