Is there a way to prevent customers from accepting an estimate sent through Quickbooks?

When they do, only the date is populated, no signature; and we also require deposits upon acceptance.

I'm delighted to have you in the Community, Omsllc. I can provide relevant information about managing customer estimates effectively in QuickBooks Online (QBO).

In QuickBooks Online, once you review and send your estimates to your customers, you give them info about your proposal and what they can expect to pay when they click the Review and approve option. Currently, the option to opt out of this feature is unavailable.

As a workaround, instead of clicking the Review and send option after creating an estimate, you can utilize the Print and download button to generate a PDF copy of your estimate and send it to your customer outside QBO. Once done, Save your estimate.

Moreover, when your customer accepts your estimate, you can manually update the status in your QuickBooks account. Here's how:

  1. Navigate to  Sales.
  2. Under the Type tab, choose Estimates.
  3. Locate the estimate you wanted to update.
  4. In the Action column, hit the drop-down arrow and Update status.
  5. Select a status and press Ok.

While this feature is unavailable, I suggest sending your valuable feature request to our product engineers. They will review your suggestion and may consider adding it to future updates. Here are the steps to follow:

  1. Select the Gear icon, then choose Feedback.
  2. Enter your comments or product suggestions
  3. Select Next to submit.

Additionally, check out these resources to help manage your estimates. You can also choose what information your customers see and include what’s most relevant to your business:

Furthermore, you can utilize this reference to help you review and track customer-paid invoices in your account: Record invoice payments in QuickBooks.

Please keep me updated on the progress following the steps I provided above. I want to ensure your estimates are processed smoothly within the program. Have a great day ahead.
