Question

Is there a way to show the Project name on the invoice. I have multiple projects per client and want a way to show the client which project I am Invoicing.

Currently, such an option to customize invoice template for Projects style as you want. The only workaround they have in Sales Form is to use one of the available custom fields.

 

You can enable this feature from the Gear sales settings.
Gear at the top icon > Your Company > Account and Settings > Sales form content > Name Custom fields and Select Internal and Public > Save.

Yes, that is what I am currently doing, but it would be nice to have the project name (ie. Sub-Customer) show up on invoice templates and reports.  It would help several clients, as it would eliminate having to type the project name each time and it would create consistent results.

The specific functionality that you're asking about isn't available at this time. However, I will forward this request to our product engineers, so that it is considered for future updates.

If you select the project as the Customer/Project, then surely it will show

Thank you for your reply.  Unfortunately, this is something that will need to be added to the functionality of QBO.  It is not currently possible to use the Project Name field on the Invoice template - this is what I would like to do.

I will keep checking, as I believe that it will be added in the future.  I can't be the only person out there that can see how this will help with invoicing.

Love the streamline process of online, but missing major desktop features like pre-populated project names, project numbers, and pending invoices.

Every time I create a new invoice there is a box to type in the project name, and it shows up on the invoice when I email/print. Do your invoices not have that box at all?

Unfortunately, though, the project names do not show up on statements, only on individual invoices. If that is what you are wanting (project names on statements) then I am right there with you. I need statements that show the invoice number and project name together.

I appreciate you for sharing your workaround on how you're able to show project names on individual invoices. However, the option to show project names on statements is not yet available in QuickBooks Online (QBO). 

 

We'll be sure to take note of this product feature opportunities for future enhancements. Once we receive some progress or enhancement about this feature, I'll make sure to inform you by updating this thread.

 

In the meantime, you may want to look for a third party applications that can help customize statements in QBO: https://apps.intuit.com

You requested this the last year, and there is not a resolution yet. It will be great that instead of having a Billing and Shipping we can change to Billing and Project info, or something like that. Another thing that we would like to have is that the phone may show, there is many things we are doing manually because QB doesn't have the option.

 

I hope they hear the requests.

Thank you for dropping by here in the Community. Allow me to help share further information about the invoice fields in QuickBooks Desktop.

 

I understand the importance of having the fields you need on invoices depending on your preferences. While this is still unavailable, you can utilize the custom fields from the template customization as suggested by other users.

 

Here's how:

 

  1. Click the Gear icon in the upper-right corner.
  2. Below Your Company, select Custom Form Styles.
  3. Choose a template.
  4. Below the Action column, click Edit.
  5. Go to the Content tab.
  6. Click the pencil icon in the header part of the template.
  7. Put a check mark on the fields you want to show.
  8. Click +Custom field to add extra fields.
  9. Click Done.

Additionally, to show the phone number on the invoice, please refer to the sample screenshot below:

Hi Muthu1,

 

Thank you for reaching out to us.

 

lf you're following VP Controller's suggestion, you can click the Sales Settings instead of the Advanced settings. That's where you can find the option to add custom fields on your sales transactions, where you can place the project name.

 

Another workaround is to put enter the project name in the Item description field.

Thanks for this workaround, but please explain why these are workarounds and not in development?

It feels like QB is living in 2000.

Nearly 5 years have passed since this request was made.  It is essential that there is an ability to list the sub-customer or project name on invoices and statements.  I also don't see what is complicated about adding a checkbox to allow this information that is already in QB to be displayed in the heading of invoices and statements.  This would allow consistency, clarity, efficiency, fewer questions from the customer.

 

Please, please, PLEASE add this functionality that has existed in QB desktop for decades.

I encourage you to continue submitting feedback so that our engineers are aware of the strong user demand for this option. This will help them make enhancements in future updates to better meet the needs of our users.

If you understood the frustration, you would also understand that telling people to submit feedback is just as frustrating. This issue has been going on for years. You don't care about feedback. The desktop program easily includes the project name on the invoice. How are we supposed to get people to "upgrade" to QBO if even the Advanced edition doesn't have the same features as the basic desktop program?
