Is there a way to turn this credit into a credit memo?

 If a customer overpays their account and we don't put the full payment amount in we can not reconcile the bank deposit. If we put the full payment in we can only give the customer a credit and not a credit memo. but it is non-posting and difficult to work with.

you have to put the full amount received in.  that's what you got.  QB allows you to do one of two things with the overpayment:

1. Leave the credit to be used later

2. Refund the amount to the customer


If you choose to leave the credit to be used later, QB asks if you want to print the credit memo.

Thank you for helping. So basically there is no way to change a delayed credit (non-posting transaction) to a credit memo (posting transaction)

"It asked me if I want to print it, I said no when I should have said yes. Is there a way to go back and print that now?"

That isn't really a "Credit Memo" but a Payment Credit document. There is only that Payment as the transaction type. There is no Transaction holding the Overpayment; it is part of the Math from that payment.

I just discovered that when you are in the "Receive Payment" window were your overpayment is recorded, you can click on the "Print" arrow and it gives you the option to print credit.  Unfortunately it does not allow you to describe why the reason of this credit to the customer but I think you could fill out by hand the reason for this or you can attached documentation for your customer that will support this credit and let them know this is due to an overpayment.

I didn't read ALL of this thread because it sometimes goes around in circles with QB staff providing answers to questions not asked.

It was clarified to me that CREDITS on accounts do not mean a credit memo exists. And as said early, the credit does not show up on the customer transaction listing. The only place I see it is in the credits popup when you're in the receive payments window.

I dunno, I'll bookmark this and try to decipher some sort of reliable, sensible workaround described herein.

There is no Delayed Credit when you got actual Money. That money over what they owed is a Credit already. And don't create a credit memo when you already have a Customer Overpayment condition. The overpayment is Negative AR; a credit memo now is another Negative AR = you doubled it.

When you go to the payment transaction that has the overpayment and click on print, it gives you the option there to print a credit memo (even after you initially said no)!

Hi there, @tsd81xx,

 

You can print the list of credit memos and send them to your customer. Just make sure to filter the transaction type by Credit Memo.

 

Let me guide you through on how to accomplish this:

  1. Go to Customers, then Customer Center.
  2. Locate the customer, then click Open Balance
  3. Click Customize Report.
  4. Go to Filters.
  5. Search filters by Transaction Type.
  6. Select Credit Memo, then OK
  7. Click Print to print the Report or Save as PDF

You can now print the credit memo of your customer.

The best way to get a credit memo from a payment (previously posted) is to edit the payment, 

at the top select the print icon and it gives you option to print credit memo.  Best Answer I've seen so far.  No flaw in QB.

There IS a flaw: we don't just want to print a credit memo. We want a credit memo to be created and show up in the customer's account.

Thanks for hopping in this thread, @513051895066208. Let me add more information to clarify things about customer's overpayment. 

 

You don't need to create a Credit Memo for this as it is already an AR credit and will be available when you create the next invoice for the customer. Thus, creating a credit memo will only generate a duplicate entry for the same value. 

 

This will also show in the summary of your customer's statement of accounts. Then, you can choose how you want to handle the available credit on your next transaction with the customer.

Intuit, it would be so helpful if you would make a way to turn a credit into a credit memo that is visible on a customer's account and can be saved with a number for easy locating. When an overpayment is made an option is given to print a credit memo but then the credit memo disappears from record. I have used QB's for over 25 years and tracking credits (individual amounts plus when and where each came from) on customer accounts have presented major frustration. A saved credit memo that can be filled out, is traceable, and can be emailed/printed to send to customer would be sooooo helpful.

Being able to convert the credit into a credit memo is a great idea, ASL30.

 

I will take note of your feedback and pass this feature along to our Product Team. 

 

For now, you'll want to filter the Transactions tab to see the overpayment of the customer. Let me show you how:

 

  1. Go to Customers, then Customer Center.
  2. Click the customer name to open the profile.
  3. Go to the Transactions tab.
  4. Choose Payments and Credits from the Show section.

  5. It's where you see all payments, credit memos, and overpayments.

I can't believe it has been almost 2 years since the original post and this hasn't been looked into.  I would love for a developer to see my current project I am working on.  They would for sure look into being able to create a legit credit memo with credit memo number number for these extra payments. Unreal what I have to do to provide a legit credit memo to a customer for them to use for a future order.

We use QBO. I have had this issue come up numerous times. What is the best way to give the customer a credit memo, with a number, that they can use when paying multiple invoices on their next check? The credit is from a overpayment on their part due to a keying error. Any suggestions would be greatly appreciated. The simpler and less-complicated the better. Thanks.

I understand the importance of this feature request, however, at this time, there isn't an option to provide your customer a credit memo number to apply to their invoices. In this case, you'd need to manually create single credit memos and apply them to individual invoices. You can learn more about the credit memo process in Applying a credit memo

Thank you for submitting a request to the product development team. 

 

My work around is to create a credit memo in the amount of the overpayment, send it to the customer, then go back and delete the credit memo. When they pay their next group of invoices and use the credit memo, I will match it with the overpayment that is sitting as a credit on the customer account. It's kind of a clunky way to do it, but it's all I could come up with. Hopefully everything will reconcile out in the end.

I don't feel like this is resolved as it says. QB just keeps offering the same answers and that they will pass this on to the engineers but not only has nothing been done in the past few years but they took away the option to print the credit memo in the first place. I did create the credit memo and voided it after sending. Since I sent it via QB, hopefully they don't panic if they are notified the credit memo was voided. The only other option I can come up with is to create a mockup in Adobe of your credit memo and send it outside of QB. That's probably how I will proceed going forward since it doesn't seem like something QB will change.
