Like to know how to use bill pay with an accountant

Can we limit the accountant to access the bank and have bill pay approval

Welcome to the Community, Jian. Let me share information regarding your user access concern in QuickBooks Online (QBO).

 

When setting someone as accountant access in QBO, they will have the access of an accountant and cannot be customized. Furthermore, you can consider creating another profile for your accountant where you can customize a role tailored for approving bills and accessing banks.

 

To add a new user and assign a specific role to your bill payment process, kindly follow the steps below:

 

  1. Sign into your QBO account as an admin.
  2. Go to the Gear Icon, then select Manage Users.
  3. Select Add User.
  4. Type in the user name and email address. The user roles will relayed through the email address.
  5. For Bill Pay-specific roles, scroll down in the list and choose one of the following: 
    • Bill approver role can only consent to bills. Therefore, paying bills or other activities related to bills or payments is not possible.
    • Bill clerk users can add bills, mark bills as paid, and add and edit vendors. However, they cannot approve or pay bills.
    • Bill payer users can only view, pay bills, and edit vendor details. They cannot perform other bill-related actions.
  6. Click Send an invitation to invite the user for this role.
