Hi – My accountant has requested that I make a year-end AJE that isn't balanced. How can I make this change in Quickbooks Online? I don't have access to QuickBooks Accountant.

Hello there, bpp1.

I've got steps to ensure you can create a journal entry within QuickBooks. Please know that you can still process this transaction even if you're not accessing QuickBooks Online Accountant.

You have to visit the + New button and select Journal entry. I suggest consulting your accountant while doing the procedure. They'll be able to provide you with suggestions on how to properly handle the transactions, especially with the category or account to use for the debit and credit and the amount associated with this entry.

Here's how:

  1. Choose + New and select Journal entry.
  2. On the first line, choose an account from the Account field. Depending on if you need to debit or credit the account, enter the amount in the correct column.
  3. On the next line, select the other account you're moving money to or from. Depending on if you entered a debit or credit on the first line, enter the same amount in the opposite column.
  4. Check the amounts - you should have the same amount in the Credit column on one line and the Debit column on the other. This means the accounts are in balance.
  5. Fill in the other needed information
  6. Click Save and close.

Additionally, you can refer to this article if you need steps on how to reverse a created journal entry to swap the debits and credits so your data in QuickBooks stays balanced: Reverse or delete a journal entry in QuickBooks Online.

In case you need steps on how to run different reports in QBO to give you a snapshot of your business, you can read this artilcle: Run reports in QuickBooks Online.

Feel free to get back here in the Community if you need more assistance managing your JE or any QuickBooks-related concerns. I'm always here to help you further, bpp1. Take care and have a productive day.

Thanks for your help, ChristyAnn. This doesn't quite work for me as the debits and credits in the AJE as requested by my accountant are not in balance. How can I make this entry?
