Migrated from QBs Desktop. We have AR for pledges and AR for program dues. There is no way to switch the AR account on an invoice. How do we handle this in QBO?

We are a non profit organization. How do I run a report only for program dues? How do I exclude the pledge receivable from sending a payment reminder?

I'll be sharing some ideas to your concerns about handling your AR account as a nonprofit organization in QuickBooks Online.

 

While it's not possible to change the default AR account used in an invoice, you can create a Journal Entry transaction as an alternative. However, please note that you won't be able to send this to your donors.

 

Moreover, if you want to track program dues, you can set up the program as a customer or project. To create a report for program dues, you can run an Open Invoices report by following these steps:

 

  1. In your company, tap the Reports menu on the left panel
  2. Type Open Invoices Report in the search field.
  3. This will take you to a page that shows all open invoices.
  4. From there, click the Report period drop-down and select All Dates.
  5. If you wish to add more information, press the Customize menu to open the Customize report screen and show specific dues for that specific date
  6. Click the Run report button to apply the changes.

 

As for the AR account and pledge receivable account, they are default accounts. You can't replace AR in invoices, but you can rename them. However, even if you rename them, QuickBooks will still use Accounts Receivable until paid. The income account that is posted to is determined by the item you use on the invoice.
