Missed 941 Quarterly Reports in previous years.

I have been notified of several missed 941 quarterly reports in previous years.  Can I file these reports through Quickbooks payroll for previous years?

The 941 filing within the program is for this current year. For previous periods you'll need to manually file them outside of QuickBooks Online. 

Please know the system will only retain 941 forms from the previous year. If you require forms before 2023, I recommend contacting our payroll experts to get a copy.


I would recommend running the Payroll Tax and Wage Summary report for reference. It covers all information, including your employee's wages, taxes, deductions, and contributions. 

 

Here's how to run the report:

 

  1. Hover over to the Reports menu. Enter Payroll Tax and Wage Summary in the search bar.
  2. Set your preferred date range, then click Apply.
     

 

After you manually file your form from 2023, mark it as filed in the program. Please follow these steps as a guide.

 

  1. Go to the Payroll menu, then head to the Payroll Tax tab.
  2. Select the Filings section.
  3. Locate the 941 form. Press the File option.
  4. Now, hit the Record filing button.

Thanks for returning to this thread, Joseph77. Let me provide a solution to the authentication error you received when trying to file your quarterly reports.

 

The error message, "Authentication Failed. Authentication Ticket Mismatched" occurs when the user logs out of QuickBooks Online Payroll and tries to reply or post in the Community without logging back in.  

 

To resolve this issue, we advise that you log out of QuickBooks Online Payroll and log back in before replying in the Community space.

 

If this doesn't work, access your account again through an incognito or private window. This will help us determine if the issue is related to your browser. Please use the following browser shortcuts:

 

  • Mozilla Firefox: CTRL + Shift + P
  • Microsoft Edge: CTRL + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Safari: Command + Shift + N

 

If the issue is resolved after this, consider clearing your regular browser's cache to refresh your connection and browsing history. Keep in mind to exclude the cookies. Alternatively, you can try using other supported browsers.


This should resolve your authentication error and will let you get back on track. I'd also like to know if you encounter any other concerns with filing your quarterly reports for the previous years so we can address them together.
