New Invoices

It is an absolute shame that QB set up the new invoices for the essentials account to only service businesses that sell & ship merchandise. We are a small service-oriented business, and we are required by law to have our business license on our invoice by our company information or pay exorbitant fines. QB does not provide a line for that or let us use other lines that are there (ie: website & email) for it. There is nowhere for a Job Site and if you were to choose to use the ship to for the Job Site it adds shipping costs, shipping numbers, etc. It is an all or nothing. QB was never user-friendly to service business which is why we designed our own invoices and cannot use now. It is not cost-effective for us to upgrade just to use our own invoices, that we designed, as it goes up to $100.00 and after 3 months it will be $200.00 a month vs. $60. We are a Mom & Pop part-time business that does not utilize all the features we have now. So, upgrading does not make financial sense. It seems to me that QB is just looking to price us out. If there is not a quick reasonable solution, we will have to start looking into what other options we may have. Anyone have any suggestions?

I understand how important adding your Business license and Job site fields instead of the Ship to option in your invoices, @Security Control. I'll share a workaround so you can add them to the sales form. 

 

In QuickBooks Online, you can use the Custom Fields feature to create a new field for custom data in your invoices and other sales forms. Doing so, you can flexibly enter any desired information every time you make an invoice. To make one, you can follow the outlined steps below:

 

  1. Go to the Gear icon, then select Custom fields under the Lists column.


     
  2. Click the Add Custom Field button if you're new to this feature, or click the Add field to create another one.



     
  3. In the Add Custom Field window, enter the Name, then select All Sales forms.
  4. If you want to include this field once you print a copy, toggle on the Print on form option.
  5. Once done, click Save.

Moreover, if you don't want the Ship to option to show on your invoices, you can remove it by clicking the Customize section in the Manage menu and then toggling it off. You may refer to the image below:

This is not a solution... there are only 3 custom fields which I have already used since the invoices from QB are set up as product sales type invoices. AGAIN... we are a service business, we need to have our license number, PO, Job Site, and other things that QB will not let us have. This is why we designed our own invoices which QB will no longer let us use. Now we have to find another billing program due to this mess QB caused at the end of the month with no warning. We designed our invoice and it cost QB NOTHING... QB doesn't care abot customer needs just the almighty $$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$

However we already used the custom fields because the fields they give us are not condusive to service oriented businesses. We now have to find another billing service because we cannot use our own invoices that we designed. Mind you it cost QB NOTHING... Seriously this is the most frustrating service that does not care about customer needs... they just care about the almighty $$$$$$$$$
