New Look Invoice -----NOOO!!!

Quickbooks decided to give Invoices a new look. What a disaster

We use invoices to book our daily sales at our restaurant.  We don't use sales receipts because we need to apply multiple payments to a single invoice.  Last time I tried this using sales receipts only one payment could be made

1) No longer an option to make Discounts pre or post tax.  The old version it was drag-and-drop.  If there's a way to do this in the new design then they've obfuscated the process pretty well

2) Sales tax amount requires a bunch of clicks to override. Before I could just position the cursor in the sales tax box and put in the value.  Now there's a button, then a new window then you are required to put in an override reason. WTH?

Please stop messing around with perfectly good processes.  Instead, fix the sales tax reporting function which is just terrible

Is there a way to remove the current hideous layout that we are forced upon to use?

I HATE THE UPDATE!!!

May 14, 2024

I absolutely agree.  I'm also having a horrendous time with sales tax.  The sales tax mapping is so random as of late.  I had a transaction yesterday where the customer purchased 2 taxable items, and QB charged tax on one and not the other ON THE SAME INVOICE.  WHAT!!!??

I'm having such constant trouble that I've created a folder on my desktop called "QB is stupid" and I'm adding screenshots as things go wrong.

Additionally, I have some customers that receive paper invoices, and now when I print the invoice to mail, there is a "PAY INVOICE" radio button that prints on the invoice.  This looks so unprofessional!  It pains me so much to mail this to my customers!

I understand your concerns and acknowledge the need for a resolution, AceFit. I'll provide information on this matter and ensure you can handle your sales transaction efficiently.

Before we proceed, let me explain how QuickBooks Online calculates the total tax rate. It takes into account three factors:

  • The customer's tax-exempt status
  • The location where the sale and shipping take place.
  • The type of product sold.

It's important to review each item to see if it was set as taxable or not. If the issue persists after verification, open your account in a private window to eliminate browser issues.

Here are the keyboard shortcuts you can use:

  • Google Chrome and Microsoft Edge: Ctrl+ Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

Return to your regular browser and clear your cache once the items are correctly calculated. Accumulated cache and cookies can sometimes become outdated or corrupted, leading to unexpected behaviors. You can also switch to other installed supported browsers, which is a good alternative.

For your second concern, I'll walk you through how to remove the Pay Invoice button below.

  1. Hover over the Sales menu and Invoices.
  2. Locate the transaction you'll want to print to send your customer. Click Edit.
  3. Go to the Manage icon, then pick Design.
  4. Look for the Add payment link to PDF section.
  5. Toggle it off to remove the Pay Invoice button. Press Save.
  6. Hit Print and download to send a copy to your customers.

Moreover, I'm adding this helpful article for future reference to help manage your invoices and better understand the sales tax feature in QuickBooks Online.

You may continue your ongoing work and make well-informed decisions with the resources above. This approach will also ensure that the items are properly taxed and that your printed invoices convey a professional look.

Please put it back the way it was.  This is awful.  Can not even see what the sales tax rate is without needing to open up see the math and change it.  Design is confusing.  Offer a classic view options because this is awful

NEW INVOICE is 100% garbage no new functionality and they took away old functionality. In other words bend over. Shameful roll out from a company that that takes their customers for granted. The only good course of action is a roll back to the previous version until they properly assess customer feed backand beta test this garbage. Anything less is a signal to look for an alternative (Xero, Netsuite, Shopify Plus).

I feel like every change that is made just breaks more.  There are so many broken features, this update broke more (Send Later is a field on invoices that is not able to be set with the new layout).

May 17, 2024

I couldn't agree more.  Do you know of a good alternative to Quickbooks?  I'm ready to switch.

May 18, 2024

Yes Zoho Books.  Quickbooks employees are all about changing things so they can get raises and promotions.  All support is offshore.  Zoho Books is cheaper. Entire company is offshore however they have good tech support. Not like quickbooks sending us to some forum to submit “feedback.”    I’m going to have to lose a few weeks getting everything set up in zoho books like I have it set up in QuickBooks, but it’s time this was the final straw for me.   They had changed the invoices before and they keep changing them. It’s so tiring.

Please don't forget about the invoice templates that this post was originally about.  There are at least 20 to 30 replies all asking QB the same thing.  Please either rollback the update so we can still use our customer templates as a default  when importing invoices  (we don't all enter invoices one at a time) or either fix the issue and let people choose what they want to do as we had the ability to do before the update.

I am able to click the right panel with all the payment information and it reverts to the old layout.

The entire new template is a CLUSTER!!! Disaster! Sends an estimate to a customer under “invoice”

if the customer “accepts” an invoice the hyperlink in the email will now take them to a “Fully paid” invoice and they have not submitted a single payment.

TRASH

Called QB customer service to mention the below MAJOR problem

the reason we loved using QB before this horrific update to the didactic use of their MODERN template, is because we could seamlessly send estimates, convert them to invoices and then track progress payments.

With that being said, the latest update seems to have fixed the invoices now, where if you select your custom template it will send that to the customer and even in the hyperlink in the email will still direct the customer to your custom invoice template

the MAJOR problem remains with ESTIMATES…

1) we select/use our custom estimate template

2) email goes out to the customer as an INVOICE

3) if the customer click on the “view invoice” hyperlink it will direct them to a page allowing them to accept or decline the estimate

4) if they click on “view estimate” on the webpage the hyperlink takes them to it will give them the new MODERN template of the estimate and NOT our CUSTOM estimate template

5) lastly if the customer click “accept” once the refresh the page and click on the “view estimate” again NOT only does it again remain on the MODERN template but now says FULLY PAID on the estimate!

needs major fixing ASAP
