Question

On the product line on an invoice, can I create a column where I can include serial numbers for different products?

I sell limited edition prints that are numbered. The computer desktop version could do this. I would be able know what the next number should be by the reports generated from this information.

Yes, you can add a column where you can include the serial numbers by adding an SKU for your products then enabling the SKU customization option in the invoice, @SMAINC. I know the process and can guide you through it.

In QuickBooks Online (QBO), we can utilize the Stock Keeping Unit (SKU) in monitoring the variations of your inventory items. An SKU is an alphanumeric code that contains the product's features like color, size, type, and so on. I can demonstrate how to do this:

  1. In the left side panel, click Sales, then go to Products & Services.
  2. Find the item you want to put a serial number.
  3. Tick Edit and enter the number or code in the SKU box.
  4. Once done, hit Save and close.

To ensure the SKU is visible in invoice, turn on the SKU option in the customizations. Here are the steps to follow:

  1. In the +New button, select Invoices.
  2. From the Manage, hit the Customization dropdown.
  3. Please enable the SKU option to add a column in the product and service, displaying the specific SKU detail for each item.

You can also add a product description when you create an invoice to add the specific serial numbers for different products.

Furthermore, to determine the next number by generating a report, you can pull up a Sales by Product/Service Detail report and customize it to show the SKU of your items. Here's how:

  1. In Reports, look for the Sales by Product/Service Detail Report.
  2. Hit Customize. Under the Group by, tick the drop-down arrow and choose SKU.
  3. Once done, tap Run report.

Additionally, in tracking your items in QBO, you can pull up a report that can help you handle it. For assistance, see this reference: Use reports to see your sales and inventory status in QuickBooks Online.

We appreciate your posting about your concern here in the Community space. If questions are still up in your mind with handling invoices, let me know. I'll be glad to assist again.

I tried using the SKU, but it is not editable on the invoice which is where I would need to but the serial number added to that SKU.
