Question

Payroll YTD total is wrong

just migrated from QB online to Enterprise. I did payroll and saw that the YTD amount is only for this payroll and not the other two payroll checks this year. I migrated after the second payroll check this year.

How to do I correct the YTD amount so that the other two payroll checks in my register are included?

Ensuring that your year-to-date (YTD) payroll figures are precise, as this plays a significant role in upholding the integrity of your financial records, Ronald73. Let me add informative details to assist you.

Once you migrate your data from QuickBooks Online to QuickBooks Desktop, all paychecks will be transferred as checks within the new system. Since the two other payrolls were not transferred successfully we can manually add them. To ensure your year-to-date (YTD) payroll figures are accurate. Here's how:

First, open your QuickBooks Desktop, then please follow the steps below:

  1. Go to the Employees menu and select Payroll Setup.
  2. On the Payroll setup screen, choose Payroll History.
  3. Click Yes, I have paid employees in [year], then select Continue.
Note: After, to consolidate paychecks for previous quarters, please select Yes or No, then click on Continue.
  4. Choose the employee whose paycheck details you need to enter, then click Edit payroll history.
  5. Input the total paycheck amounts for each previous quarter or enter details paycheck by paycheck.
  6. After entering all paychecks for that employee, click Done.

Note: Repeat these steps for each employee who received payment in the current year, even if they are no longer employed by your company.

If you have made tax payments for previous payrolls, you will need to record those transactions. Just refer to the Step 3 section of this article: Add payroll info to QuickBooks Desktop Payroll when you already paid employees this year.
