Problem emailing invoices and statements through QuickBooks

I had to use the turn on app feature in security. That was the only one that worked. I hope this is helpful to anyone that is having the same problem.  Thank You

Hi rhino_cole,

I can see that you've been through a lot already. I appreciate you for bringing your concern about sending emails in QuickBooks to our attention.

There are a few possible reasons why this is happening:

  • The email preference being set incorrectly.
  • A damaged QuickBooks installation.
  • Domain admin was blocked.
  • Account security settings from your email provider.

Since you've done all the troubleshooting steps already. I'll just be sharing some of it to help you fix this. But If you've gone through all the steps mentioned below, I'd recommend contacting us for further help.

First, we want to make sure your QuickBooks Desktop software is in its latest release. QuickBooks periodically provides maintenance release and product (software) updates to fix emailing concerns, add features and enhancements, and update compliance information.

Second, please check the settings in the web mail  preferences:

  1. At the top menu bar, click Edit.
  2. Choose Preferences.
  3. Click Send Forms on the left panel.
  4. Under My Preferences tab, select the email account you're using.
  5. Click Edit.
  6. Mark the SSL box, or just select Default.
  7. In the Server Name field, make sure the server name matches your email provider's settings
  • If you see smtp.mail.yahoo.com for example, change the name intuit.smtp.mail.yahoo.com and click OK.

If you're getting an incorrect password error message, please follow the detailed steps in this article to resolve this: QuickBooks Will Not Accept my WebMail Password.

To isolate this case, we can also send emails using a sample company file to check if it's doing the same thing.
  1. Go to the File menu and click Close Company. 
  2. In the No Company Open window, click the Open a Sample File button, and choose the sample company file you want to use.

Then, let's set up your email service in QuickBooks Desktop and try to send an email again.

Windows 10 is incompatible with QB Desktop Pro.

I've been through the gambit of support and they cant solve this problem. Piece of crap is QB.

I changed the style of the default invoice template and used a different font. Once I changed the font back to times new roman, it was able to print again.

I can't email now.  It was working fine and now I can't. I didnt change any programs or setting it just says outlook cant communicate

There are several reasons why you're QuickBooks is not responding while sending an email. Let's perform some troubleshooting steps to fix this error.

 

  1. Make sure that QuickBooks isn’t running as administrator.
  2. Verify if your email preference is set correctly in QuickBooks.
  3. Set your email preference in Internet Explorer correctly.
  4. Test and repair your MAP132.dll by emailing a document from Microsoft Word.
  5. Reinstall QuickBooks using Clean Install.
  6.  Lastly, you may consult with your IT professional so you'll be guided properly in repairing Outlook.

If the error persists, I’d suggest contacting our  Technical Support Team. A specialist will be able to further check on the root cause of your concern via a secured remote access session.

Hi, 

 

I'm running into the same problem - QB 2019 Pro Desktop does not accept my webmail password. 

 

Desktop 2019 - latest update

Email provider: Siteground

Anti-virus - Kaspersky - I have tried aswell with Kaspersky disabled

Password is correct

Mailserver is inline with siteground instructions:

Have done everything to try and cure this problem. Doesn't just not email, continuously locks computer requiring restart.

If you already tried all the troubleshooting steps given by my colleagues above and the issue persists, I highly suggest contacting our Phone Support team. They're able to pull up and check your account using their screen-sharing (remote access) tool and further investigate. They can also perform other steps to fix this for you.

I’m having a problem setting up gmail account through Quickbooks. I get to the sign on screen through preferences and it says cannot use browser?? 
how can i get around this??

Hi there, @KateM7.

 

The message that you received can be caused by Google's recent update for the privacy policy. To resolve this email issue, you'll need to reauthorize QuickBooks Desktop and continue using Gmail.

 

Before doing so, make sure to have the latest release of QuickBooks Desktop.

 

Once confirmed, you may now perform these steps below:

  1. From any open transaction or report in QuickBooks, select Email.
  2. Hit Send, you'll prompted to log in with your Intuit credentials.
  3. Press Continue in the Webmail Authorization window that opens.
  4. Click Allow.

I am unable to send invoices through QuickBooks.   I have a 2015 version.    I'm being told by support via chat that I have to purchase the new version, at $299, to get this feature back

The trick is the Allow Less Secure Apps setting.  It needs to ON.  And it turns itself off after a while.

I finally fixed the problem!!!   

I use Yahoo mail , and all of a sudden I was unable to email statements, and invoices , also with attachments...I use QB-desk top pro 2020 

 1st... go to your email and go to the ACCOUNT SECURITY section

2nd...in yahoo go all the way to the bottom of page in ACCOUNT SECURITY... see manage app passwords

3rd ... you will need to type in Quick Books in the dropdown menu 

4th.... click enter it will give you a 16 letter pass word... COPY IT

5th Now go back to your QB and pick a customer to send a statement to

6th....now when it askes for the password to your email... PUT THE 16 LETTER PASSWORD THAT YOU COPIED INTO THAT BOX... and woohoo you are back able to email from within QB statements and invoices .

Yes, the app password  is exactly what worked for me....but unfortunately, yahoo has their own set of rules. So it now takes me about an hour to email 130 invoices because yahoo limits the number that will send with the app password code, so I have to keep going back to get new ones after every 13 to 19 emails sent. Then I also have to wait a limited number of minutes, approx 5, or it fails and if I keep trying then it thinks my email has been hacked and I have to reset my yahoo email password. Looking for a better option than yahoo right now....but it's my busy season so no time for research right now.

I'd recommend updating your QuickBooks Desktop program and then check the email preferences if it was setup correctly. I'd be happy to show you the steps below:

 

  1. Update your QuickBooks Desktop program.
  2. Restart the program once done and go to the Edit menu.
  3. Select Preferences and choose Send Forms.
  4. Under My Preferences, select the email account you are using and click Edit.
  5. In the Edit Email Info screen go to the SMTP Server Details section and set the server name and port to your email provider settings. In your case, you can refer the AOL ISP details below:
    • SMTP Server: smtp.aol.com
    • SMTP Port: 465 or 587 (see Note) (SSL enabled for incoming and outgoing mail server)
  6. Change the name and then click OK

I am using Quickbooks Desktop 2020 Pro.

I have previously been able to email statements but now can't .

Error message says 'invalid credentials or gmail settings'.

email and password entered are correct

I am using a yahoo email, not gmail.

Any suggestions?

To isolate the error, let's configure your email settings. Here's how:

 

  1. Go to the Edit menu.
  2. Select Preferences, then choose Send Forms.
  3. From the My Preferences tab, click Edit email.
  4. Under the Email Provider drop-down menu, choose Yahoo.
  5. Enter the Server Name and Port. 
  6. Check the SSL/TLS box, then select OK or Done.
