Question

Profit and Loss Report shows paid invoices in the Cost of Goods section for one category of service.

So the paid invoices appear as negative line items in the expense section of the report.  This is happening for only one category of service, and that service is configured the same as all of the others.  Seems the report is incorrectly configured. Anyone else run into this issue?

Welcome to the Community, STS6! I'm excited to see your first post. Accurate financial reporting is essential for driving your business growth. I'm here to help you understand why your paid invoices are appearing as negative line items in the expense section of your Profit and Loss report, enabling you to manage your business with confidence.

I'll make sure to prioritize your Profit and Loss report data queries. However, to fully understand your issue and provide the most effective support, I would appreciate some detailed information. Specifically, a screenshot of how you've set up the service item, your invoice, and the report itself. This will help me address your matter more accurately.

A Profit and Loss report is a financial statement that outlines your business's revenue and expenses over a specific period. The way items are set up can significantly impact why your paid invoices show up as negative in the expense section. I recommend reviewing your item setup to ensure it's correct. To do this, follow these steps:

  1. Go to Sales and select Products & services.
  2. Find the service item you want to review and click Edit in the Action column.
  3. Make any necessary changes, such as in the Income account field.
  4. When you're done, hit Save and close

Additionally, are you interested in obtaining a copy of your financial reports from QuickBooks for future reference? If you do, you can find more details in this article: Export your reports to Excel from QuickBooks Online.
