Question

Quick Books is automatically showing customers as having paid with cash when I haven't received anything or done anything. It's happened sporadically on 5 occasions.

Invoices won't be paid automatically if there's no available credit, the automatic apply is turned off, the invoice amount is greater than zero, and the customer didn't pay electronically using QuickBooks Payments.

 

Kindly review the audit log, then open the invoice and verify the payments linked. If incorrect, you can delete the payment manually to clear its paid status.

 

Additionally, QuickBooks Online (QBO) may act strangely due to stored internet cache files. Let's perform some basic troubleshooting steps. Begin by checking the paid invoice through the private window. Here are the keyboard shortcuts:

 

  • Safari: Command + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Sh

 

If this works, return to your regular browser and clear your browsing history to start fresh. If not, I recommend using a different supported browser. The QuickBooks version you're using may have a temporary malfunction.
