Quickbooks Desktop Bill Payment Stub Template

I was excited to see that there's now the ability to send a bill payment stub with bills paid. However, the standard template doesn't meet our needs and I need to customize the form. The bill payment stub template doesn't have buttons for Additional Customization or Layout Designer so I'm unable to make changes to the template.

Please help.

I've come to share details about customizing the bill payment stub template in QuickBooks Desktop (QBDT), @KathyR.

For the time being, customizing the bill payment stub isn't an option in QBDT. That's why the template doesn't have buttons for Additional Customization or Layout Designer to make changes to it. However, you can print (from the File menu's Print Forms option) it to view the list of all the bills you've paid. Please see the screenshot below for your reference.

In keeping with this, I'm adding this article to further guide you in managing the growth of your business using QBDT: QuickBooks Help Articles. It includes topics about account management and then you can click the + More topics button to view other subject matters like reports and taxes. You can also watch video tutorials to learn your way around the program.

Also, QBDT offers a wide variety of ready-made vendor reports that tell you where your company stands, in terms of expenses and accounts payable. to know more about these reports, you can check out this article: Customize vendor reports.

Please don't hesitate to leave a comment below if you have other concerns about bill payment paystubs and managing your vendor transactions in QBDT. I'll gladly help. Take care, and I wish you continued success, @KathyR.

When will this form be customizable?

November 7, 2021

Let me help share information about the bill payment stub template, @KathyR.

As of the moment, there isn't an integrated way to customize the bill payment stub template to personalize the contents. We're also unable to provide the exact turnaround time as to when this feature will be added to the program design.

While the option is not yet available, I'd highly suggest letting our product developers know about your request by sending feedback. I'll show you how.

  1. Go to Help.
  2. Select Send Feedback Online.
  3. Click Product Suggestion.
  4. Under Product Area, choose Customers Sales.
  5. Enter a few words describing how you wanted to customize the bill payment stub template for your business.
  6. Select Send Feedback.
  7. Click Close Window.

I'm adding this article with the topics you can use while recording the common vendor transactions: The Vendor Transaction Workflows in QuickBooks Desktop.

It'll always be my pleasure to help if you've got additional questions about customizing the bill payments stub. Use the Reply option below and surely I'll be here ready to assist you. Take care and stay safe!

This is incredible!  I need to be able to edit this template like I can with other forms, and it's not possible.  And if I'm paying via ACH, and the form shows 'ONLINE' my vendors find this EXTREMELY confusing.  I cannot even just remove the offending column/data block.

I can't WAIT for some more posts with links and instructions about how to customize forms.....

Do you guys (QB staff) even read what we're writing??

YOU CANNOT EDIT/ADJUST/CUSTOMIZE MOST OF THE BILL PAYMENT STUB TEMPLATE.  THIS IS NOT ACCEPTABLE, WHEN CAN WE EXPECT IT TO BE ADDRESSED?

May 17, 2022

Kate I spoke to a QB rep that was going to escalate it... Nothing has been done. And don't let them tell you that you need to update. They haven't fixed it and NO they DON'T LISTEN

May 26, 2022

Is there an eta on the update to include the layout designer & additional customization for templates?

Welcome and thanks for following this thread, @Alison ATR.

At the moment, we don't have the exact ETA for the layout designer & additional customization for templates. I'd recommend sending feedback to our engineers directly.

For future reference, you can go to our Firm of the Future to acquire the most up-to-date QuickBooks product updates.

Feel free to post your concerns again. I'd be delighted to help.

Seems like another useless reply from QuickBooks staff.  We have 'suggested or requested' a change, many times. Is this being worked on?  Or is the best QuickBooks can do is to say - go to this link and see if you can figure it out for yourself?

Same. I use this template more than any other on QB, & the "improved" version takes up half a page, looks horrible, & has soooooo much wasted space. I just spent half an hour with the help chat, hoping they knew some secret method. Nope, they just told me to submit feedback online. All this for a product that suddenly went to the super-expensive "subscription" mode. We're paying much more for quite a bit less. Intuit strikes again!

Hi Everyone.  All information is gone when I try printing a Bill Payment Stub.  It's worked fine for years however randomly stopped 2 weeks ago.  The Bill Payment Stub fills in the vendor info and total payment amount but no info in the body.  Please help!

March 17, 2023

I can think of one reason why the body information of the Bill Payment Stub isn't showing when printing in QuickBooks Desktop, Mary.

Let me discuss it with you along with some fixes.

There's currently no known issue with the above-mentioned problem. Also, I've tried on my end and everything appeared just fine. Kindly refer to the image below:

You're likely experiencing the issue due to incorrect formatting. I recommend reviewing the format first and then re-printing it. If everything's correct and you still get the same result, make sure of the following:

  • Update your QuickBooks to the latest release.
  • Connect your computer to the printer.
  • Install the latest printer driver.
  • There are no error messages or warning lights on your printer.

Once done, let's print the stub from another program (as long as it's not QuickBooks) like Notepad. Here's how:

  1. Click on Start and browse to Notepad.
  2. Fill in some text and and open the File menu, then hit Print.
  3. Pick the correct printer and hit Print.

If it still didn't print correctly, go to Solution 2, 3, or 4 from this article: Fix printing issues in QuickBooks Desktop

Lastly, I'll add this module to make sure your Accounts Payable are tracked: Accounts Payable workflows in QuickBooks Desktop

Feel free to comment back on this thread in case you need extra help with bill payment stubs or QuickBooks. I'd be delighted to back you and your business. Stay healthy and keep safe always!

You cannot edit the format of bill payment stubs. Quickbooks says it's customizable, but it is not. People have been complaining about this for over a year and nothing is being done to fix the issues people are having with bill payment stubs.

May 18, 2023

Chiming in a year and a half after the original post to say yes, I also need this issue to be corrected. The stock version looks terrible, and it's ridiculous that it can't be customized like the other forms. I am using Enterprise 2023 and pay a LOT of money for it.

I also can't stand the QB employee or support "answers" on these threads. They are always useless and rarely address the actual issue being discussed. Get it together, Intuit!

May 22, 2023

Right? How do I get a job responding to people because I would be a heck of a lot better at it than literally every QuickBooks expert that has responded to this thread.

July 11, 2023

I hate to say it, but responding to these threads is futile!  QuickBooks makes WAY too much money to really care about this stuff.

July 26, 2023

I'm done! After getting my last bill for QB I'm going back in time.

I have a nice 6 year old computer that was hardly used that I'll setup disconnected from the Internet. I'm going to install QB 2014 and an old version of Acrobat. I'll be disconnecting QB from Intuit and do everything manually. I only have 50-60 transactions per month and with the amount of headaches the Bank feeds cause the extra time will be minimal. I'll print to Adobe PDFs to a USB stick and then email from my main computer.

I'll be up and running on 1/1/2024.

FU Intuit!

May 27, 2024

Over 3 1/2 years when this was first posted and QuickBooks has their heads so far up their as5es it is unreal. The en5hitification of everything is becoming too much. Pay more. Get less.

Customer service? Not a thing. Let the bots handle it by posting the same response over and over. Only ones to help you are the people in a community forum not getting paid to help out for a program they didn't create or own. What a joke.

The only solution is to get rid of this program. Having no simple fix for a stupid column that is not wide enough where it truncates information is absolutely asinine.

I don't know about y'all but I am done with this program. Having a meeting with company owners to move to something else. Good bye QuickBooks, you have been terrible to work with. You will not be missed and I'll be sure to continue to tell business owners that I meet to avoid this program at all (greedily high) costs.

I found that if you go into the actual check, there are 3 tabs at the top.  Go to the reports tab, then transaction history prints all the history connected to the transaction...which for me included the whole REF NO, that was cut off printing the "BILL PAYMENT SUMMARY".  Hope this helps someone!!

That isn't a solution. We aren't going to send our vendors transaction history reports in place of bill payment stubs. It's helpful, but it isn't a solution. You guys STILL haven't allowed the bill payment stub template to be editable with the layout designer. It's been years that we have been complaining out this. COME ON ALREADY AND TAKE 5 MINUTES TO HAVE YOUR DESIGN TEAM FIX THIS ISSUE.
