Receiving Purchase Order Workflow

Our customers typically start the purchase process by generating a Purchase Order, which details the services and quantity of hours they are buying from us.  Once we deliver on the services we generate an invoice and must reference their PO.  Is there a way to do this in QBO? Ideally I'd be able to attach a PO to a customer, and when the invoice is created associate the invoice back to the original PO?

Welcome to the Community @Calrton191. Let me guide you in solving your problem with your invoices in QuickBooks Online (QBO).

 

In QBO, by creating estimates, we can give your client a quote, proposal, or offer for work. The format appears to be the same as an invoice, except that instead of charging your customers, you are providing them with a summary of your proposal and their quotation for their payment. 

 

You can create estimates by following the steps below.

 

  1. Select + New, then choose Estimates.
  2. Select + Add customer from the ▼ dropdown select a customer. On the Product or Services field, choose the product or services you offered by clicking the ▼ dropdown.
  3. Click on Save and Close.

 

After creating the estimates, you can now make invoices and add the estimates you made a while ago. 

 

Here’s how:

 

  1. Click + New, and select Invoice.
  2. From the ▼ dropdown, select the customer you just created the estimate with.
  3. A prompt will appear at the right corner of the screen with Suggested transactions.
  4. Select the estimate that you created and click Add.
  5. Click on Review and Send to scan the details before sending your invoices.
  6. Hit Send Invoice.
