Report on new customers

It's possible to export QuickBooks reports to Excel, pharmaboy. I can show you how and provide the report we can run based on your needs by navigating through the Reports Center.

We can optimize the Transaction List by Customer report to have a complete view of the transactions under each customer in a given period:

1. Open your QuickBooks Desktop (QBDT) company file.
2. Navigate to the Reports menu and select Reports Center.

1. Enter or modify the reporting period accordingly and alter the Sort By section if needed.
   
2. You can also explore the Customize Report option if necessary.
3. Click the Excel dropdown and choose Create New Worksheet.
4. Follow the onscreen process of exporting a report.

Meanwhile, there's no specific option to determine when you've added your customer to the system. We can only identify the Start Date you've entered on the Job linked to them. If you want to check it out, let's utilize the Customer Contact List report:

1. Go back to the Reports menu and select Reports Center.

1. Navigate to the Reports menu and select Reports Center.
2. Enter Customer Contact List on the Search bar. Then, hit the Run icon.
3. Click the Customize Report button.
4. From the Display tab, input the Start Date on the Columns field.
5. Tick the Checkbox column. Then, modify the Sort by and Sort in fields accordingly.
   
6. Go to the Filters tab and enter the Start Date in the Choose Filter section.
7. Select the date period from the All dropdown or alter the From and To fields to display specific info for the chosen period.
8. Once done, click OK. After that, hit the Excel dropdown, then Create New Worksheet to export the data.

Finally, you may also save your report customization for future use. It helps save time in the modification process as it memorizes your previous inputs on its data.

@pharmaboy  RE: Is there a way to get the entire customer data exported to excel, including history? I could then do some of this in Excel. Or is there an an alternative way to do this? 

Yes, you could do this. I'd start with the Transaction Detail report found on the Reports menu under Custom Reports.

On the Filters tab for the report:

- Add the Detail Level filter and set it to Summary Only.

- Add the Name filter and select All Customer:Jobs.

- Remove the Date filter.

The resulting report will show all posting transactions for every customer. If you also want to include Estimates, then on the Filters tab Add the Posting Status filter and set it to Either.

Once the report runs, send it to Excel and then process it from there to get the oldest transaction for each customer, which for you may be a reasonable stand-in for when the customer was added.

Another way to do it, which is easier, is to use our BRC List Reporter   It pulls records directly from QuickBooks and creates reports in Excel from the records.  Using it you can select various data fields from your customer records (name, address, phone, and so on) and also the calculated fields First Sale Date and Last Sale Date. Then, for your purposes, you can sort the resulting report by First Sale Date to see your recently added customers.
