Sales report by state in Quickbooks Online

How do I run a sales report grouped by state? I don't see any filters that have the state as an option in Quickbooks Online?

I'm here to ensure you're able to run a sales report by state, @arl1231.

 

To achieve this task, you'll have to run the Sales by Location Detail report and set your desired date in the Report period field. This way, you'll be able to pull up the information you're looking for in your report. 

 

Before we start, let's make sure the Track Location setting is turned on. This is to ensure you're able to track your transactions by state in your report. Also, this enables you to specify the location every time you create a transaction like an invoicesales receipt, etc. If you haven't already, I'll guide you on how:

 

  1. Go to Settings ⚙, then choose Account and Settings.
  2. Tap Advanced.
  3. Pick the Edit ✎ icon in the Categories section.
  4. Select the checkbox to track locations.
  5. Hit Save, then Done.

Then, you'll have to add the location you want to track and reflect in your report. Here's how:

 

  1. Let's go again to Settings ⚙️, then pick All Lists.
  2. Select Locations.
  3. Tap New, then add the Name of the location you want to track.
  4. Hit Save and Close to confirm the action.

Once done, you're all set to running the Sales by Location Detail report. Here's how:

 

  1. Go to the Reports menu at the left pane.
  2. Look for and type Sales by Location Detail in the search box.
  3. Pick a Report periodGroup by Location, and Accounting method.
  4. Hit Run report to display the desired info for this report.

You'll also want to get personalized the format for your reports. Feel free to customize it in QuickBooks Online. This article will give you details on how: How to customize reports in QBO?.

Why can we not use the Location of Sale for filtering or anything else for that matter?  It is obviously an important piece of data in the system that we not only can't use to filter but can't include on the invoices.

The location feature is currently offered in the Plus and Advance plan in QuickBooks Online. You may consider upgrading your plan to utilize this feature.

As a nonprofit we would also really appreciate a way to run a list of sales by state. We need to be registered in individual states to solicit donations and right now there is no way to run a report seeing where the donations are coming from.

While reading your answers, I was wondering for my needs: Can I pull a report of sales per billing country or it is not possible yet ?  You know As the billing country is entered in the client profile...

Currently, pulling up a report of sales per billing country is not possible in QuickBooks Online. I know the importance of having this kind of feature. Your development team keeps making updates to make things works less efficiently, how about a simple report on the ship to address of the invoices? So simple. Most companies using quickbooks online won't have a location in every state, but bet most of them ship to every state. Create the report the way it should be and quit the work around crap!!!

The state where each client is located is in QuickBooks. I need to run a simple report of sales by state by year.

***I could do this in desktop version.***

Seems crazy that I can't do it in online version!

My case was simple. I needed sales by state. Below workaround took me a couple of minutes. I hope it helps someone. This is for Quick Books online.

 

1. I exported "Sales by Customer" Summary from the Reports

2. I then exported "Customers" by using the export icon.

3. Customer export gave me access to the State field

4. Sales by Customer gave me the Sales numbers for that customer

5. I did vLookup by Customer Name to get Sales and States in one excel sheet

6. I used Pivot table to get total by state. I just needed the total by state so it worked.

I need a report that will allow me to group states into sales territories. Any thoughts?

Welcome to the Community! Allow me to give you some insight to help you out. 

 

Once you enable and use the Territory feature in the settings, QuickBooks will let you generate the Sales by Territory Detail report. 

 

You can customize this report, here's how: 

 

  1. Click Customize at the upper-right corner.
  2. In the Filter section, tick the Territory box.
  3. Select all Territory you need.
  4. Make sure to set the correct dates.
  5. Then, hit Run report.

 

It's that easy!

I am fairly new to QBO and sometimes I just want to give up.  I come from Peachtree/Sage and trying to get a report for reporting tax is so hard.  I have tried all that you have listed concerning running a report for a specific period for a certain State and it is just not working.  I am using QBO Advanced.  If anyone can lend a hand in what I might be doing wrong, I certainly would appreciate it.  Vandy
