Sales Tax Liability Report in QB Online

I recently switched from QB Online from QB Desktop. This is my first quarter using QB Online and it is time for me to pay the quarterly sales and use tax for California. In QB Desktop I would run the Sales Tax Liability Report and everything I would need would be there. Under the Gross Total column there would be a Grand Total that I could click on and see every charge on every invoice for that quarter broken down my Account Type, i.e. labor, shipping, taxable, non-taxable, interest, etc.

 

Not only does the Sales Tax Liability report in QB Online not have a grand total I can click on, I have noticed that it is only including invoices that have something taxable in them and completely leaving out invoices that are only labor charges. So basically this Report does nothing for me, and I can't figure out how to get the data I need to file my Sales and Use tax.

Yes I need:

 

- Sales Tax Liability report to include ALL invoices for the quarter, not just the ones that generated tax

- I need there to be totals at the bottom of each column, not just for the total sales tax.

- I need to be able to click on total sales and run a report.

 

Please see attached example.

 

Basically I need it to function exactly the same as the Sales Tax Liability report does on QuickBooks Desktop

While QuickBooks Online (QBO) offers the convenience of working from anywhere on any device, its customization options are more limited compared to QuickBooks Desktop (QBDT).

 

I understand how QBDT provides extensive customization options and has the flexibility to tailor reports and forms to your specific needs. However, it is currently unavailable in the QBO program.

 

In the meantime, you can export the sales tax liability report to Excel. This way, you can manually add columns with certain formulas for each column's total. Follow these steps to export them:

 

  1. From the left navigation pane, select the Reports menu.
  2. Look for the Sales Tax Liability report.
  3. Click the Export icon located at the upper part of the report. Then, select Export to Excel.
  4. Save the file to your device, where you can easily locate it.
