Question

Today QuickBooks changed to a new version. I need help on how to print an invoice and packing slip from the estimate. We don't send out estimates to our customers.

Welcome to the Community, kristenia-lococo.

 

After a customer accepts an estimate, you can concert it into an invoice. When converted into an invoice, your estimate and invoice will be linked together. QuickBooks will automatically fill in the invoice from your information on the estimate. This saves you time, since you won't have to enter your details twice.

 

If you're using QuickBooks Payments and you've requested a deposit on an estimate, it will automatically be converted to an invoice once the customer pays their deposit.

 

Here's how to manually convert an estimate to invoice with the new layout:
 

  1. In your left navigation bar, go to Sales, then All sales.
  2. Find the estimate you want to convert.
  3. If its status column says Rejected, you'll need to update your status before you can convert it. Statuses can be changed by using the Drop-Down Arrow (▼) icon, then choosing Pending or Accepted. In the event its status doesn't say Rejected, skip to step 4.
  4. From your Action column, click Convert to invoice.
  5. Make any necessary updates.
  6. Select Save.

 

In the event you're using our old estimates layout, your steps will be a bit different.

 

After the invoice has been created, you'll be able to print copies of it and its packing slip:
 

  1. From your invoices screen, locate the invoice you're working with.
  2. In its Action column, use your Drop-Down Arrow (▼) icon.
  3. Select Print or Print packing slip.
