Question

Transaction detail report is missing NAMES for deposits with multiple line items.

With QB Online, deposits that have multiple line items (multiple checks to deposit) do not transfer the customer name to the transaction reports. A single deposit with a single line item (one check) will show the name of the customer in the transaction report, but a multiple line deposit will not show the names. This was not the case with QB Desktop.

For example, run a P&L report. Pick a revenue line and "double-click" to see the transaction detail. If there are "blanks" under the NAMES heading, then those are split deposits. The back end coding is not pulling from the line item fields correctly.

The only way I found to get around this is to "customize" every transaction report by gong into the report settings (gear icon) and adding in the columns for Customer and Vendor fields. You have to do this every time. It's super frustrating and we did not have to do that with QB Desktop.

Please have the engineering team look into this. Unfortunately, it's only going to be a priority if enough people complain about the same issue. It took me 2 days to research and isolate the issue, so I doubt others will realize this flaw in the coding to even report it.

Hello, Nonprofit CEO-CPA.

I appreciate your time in raising your concerns about the Names header on reports. I agree that doing extra steps is indeed frustrating, and would take too much time. So, I'd like to address this for you and shed some light on the Name header or column.

I tried this on my end, and I've gotten the same results as what you described. So, my hunch is that the Name header in QuickBooks Online would only show the names if an entry is tied to a single profile.

This is true if you enter a sales receipt, then check the transaction detail from the Profit and Loss report.

If multiple customer names or profiles are involved in a single entry, the Name header won't display them. They would be split under the Customer or Vendor column instead.

However, single-profile entries would still show the names under the Customer or Vendor column.

We can memorize the customization settings on any transaction detail report if you want to save it for future use. The complete steps and details are found here: Memorize reports in QuickBooks Online.

If you need help closing out the current period after checking your financials, I'll share this article with you: Reconcile an account in QuickBooks Online.

If you'd like me to clarify other fields on reports, or if you need help with your entries, please let me know. I'll address your concerns accordingly.

Thank you for taking the time to read and respond. Your anticipated reply was what you are likely required to do with reference materials. Unfortunately, the suggestions really don't help in this case.

Saving the changes to a "memorized" report is not useful. When you go back to the P&L report and "double-click" on another revenue line item, the transaction detail reverts back to the system's original default report that does not have the changes needed to show customer and vendor fields.

Again, this is a coding issue that the engineers will need to correct. For example, they can add code that says "if the Name field is blank, pull in field from Vendor and/or Customer". That should solve it.

I am experiencing this issue as well.  Not just split transactions, some of our single profile entries are also randomly missing name/customer fields.  It's a lot of transactions to update manually.  And our reports by customer name are not correct because they are missing entries in the online version.

Hi there, @PT20.  I've got steps you can follow to sort this out.

But before we get started, would you mind if I ask what are these specific reports you've run? This is for me to evaluate and try it here on my end if we'll have the same result. Also, I can provide you with an appropriate solution. Any additional information will be much appreciated.

While waiting for your reply, let's perform these steps to verify if this has something to do with your browser.

Usually, unexpected behavior within the system is caused by browser-related issues. Regular browser stores cache files that make frequently accessed sites such as QuickBooks don't function well.

To check, let's log in to your account using a private browser and run a report from there. It ignores websites from using cookies and doesn’t record any history and data.

Here’s how to do the private browsing:

  • Safari: Control + Option + P
  • Google Chrome: Press Ctrl + Shift + N
  • Firefox or Internet Explorer: Ctrl + Shift + P

If this works, you can clear your browser's cache to refresh it. Click this link for the guide: Clear cache and cookies to fix issues when using QuickBooks Online.

If the issue persists, I'd recommend switching to another supported browsing application.

Lastly, feel free to browse through this article that you might need in case you want to use your reports outside of QuickBooks: Export your reports to Excel from QuickBooks Online

I'll be putting an out eye for your reply and as always, you can ask for assistance from us with regard to running reports in QBO. Just leave a comment by clicking the Reply button below. I'm always here to help.

Hi QuennieC,

I tried all the options you have suggested above, but the problem persists.

Customer/Name/Vendor/Employee are blank in the online version.

I pulled one transaction from QB Desktop Pro 2020 and have included screenshots of how it looks in QB Online.

I have hundreds of transactions without Customer/Name/Vendor/Employee name.  Any help is greatly appreciated.

I just discovered this too, and it's immensely frustrating. My needs are simple but running an updated list of donors regularly is VITAL. Not having names attached to deposits in this way is inexcusable and makes this rerport utterly useless.

December 2, 2023

This is super helpful. I've been spinning all day trying to figure out why my customer data wasn't loading. Now I understand it's a glitch with QBO. I'm working on trying your manual entry suggestion, but it is inconvenient.

I am having the same issue.  We are a small business paid through commissions.  When we receive commission checks, I sometimes do one deposit for several checks  The business names are on the deposit slips, but they do not show on any reports.  The individual checks and amounts show, but not the names.  I would like to do a year-end report showing total commission paid by each company, but I cannot do that since the names are missing on some of deposits.

It would be greatly appreciated if QB would fix this.  If anyone has other suggestions, I would love to hear them.

Thank you for joining the thread and bringing this to our attention, @Ignite1.

I'll lay down a few additional steps to help you see those bank deposit names on reports.

Beforehand, have you already tried doing the troubleshooting steps given above, such as using a private window or clearing its cache? Also, the information you see depends on the report's Filters from the Customize page. Thus, you'll want to ensure that you selected the appropriate boxes like NameVendor, or Customer.

I've added this screenshot below for your visual reference:

If the names are still missing, I suggest contacting our Customer Care Team so you can have a screen-sharing session with them and investigate to find the possible root cause and resolution to this issue.

Here's how you can reach out to them:

  1. Go to Help (?).
  2. From the Search tab, click Contact Us.
  3. Please enter your question and select Continue.
  4. Review and Select from the following: Have us call you or Chat with us.

On top of that, this resource helps you modify your reports and save its current customization settings for future use: Memorize Reports in QuickBooks Online.

I'm just a post away if you have any other questions about bank deposits and reports. It's always my pleasure to help. Keep safe always.

December 28, 2023

I have already contacted someone on your support team.  We were on the phone for over an hour and a half, with her viewing my screen.  She tried reaching out to other people on her end, yet no one could provide an answer.  It is very frustrating when customer service cannot even help.  I did try working through a report, but it still will not let me add those missing names, unless you have another way doing that.

Please have them get this fixed.  I would think it should be an easy fix on your end.

There is still no resolution on this. This is the latest in a number of frustrating limitations this Online product has compared to Desktop. From my conversation on this today - you would have to enter in an individual Deposit for each item in your actual deposit to make that Recieved From entry show up as a Name in your reports.  So, that means 'Save and New' for each entry in your actual deposit.  Incredibly time consuming and frustrating.  Plus, Intuit markets this product as being great for reporting and beyond.  If I have to enter each item in individually for each deposit, that wastes so much time just to get those reports to register as something usable for me.

Frustrating.

I would like to see this resolved, too. I have deposits from donors. Single line items. I enter "vendor" name. I have a memo. Both show up as blanks on the transaction list. So I have to go through each item individually to see who gave. I wish I hadn't had to get the Online product (accountant wanted me to get it).

Hello there, Megan42.

To offer you a precise solution, I'd like to know what specific report you're running. If you're generating a deposit detail report, it would only show details in the vendor column if the deposit is from a vendor. If the deposits were made from donations, that's why the vendor column is blank.

Regarding the memo not showing, we can troubleshoot the issue through some browser troubleshooting steps.

To start, open your account in a private browsing window. This step can help identify if the issue is related to a cache-related problem. You can activate private mode using the following shortcuts:

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Shift + Ctrl + P
  • Microsoft Edge: Ctrl + Shift + N

If this resolves the problem, you can clear your browser's cache to refresh it. If the issue persists, I'd recommend switching to another supported browsing application.

In addition, you can check this article in case you want to save the current customization of your report: Memorize reports in QuickBooks Online.

Please let me know if you are referring to a different report. I'm here to assist you with any QuickBooks-related concerns you may have.
