Transaction Detail Reporting

When exporting to Excel, QuickBooks Online (QBO) formats the data in an outline style, ShamrockMD. To create a plain, database-like format for pivot table analysis, you'll need to modify the Excel spreadsheet manually. Let me explain this one further.

In QBO, exporting reports to Excel often results in an outline format that groups similar transactions and adds subtotals. This can make it hard to work with pivot tables, which prefer a flat, tabular format without grouped rows or subtotals.

To use pivot tables effectively, remove the Group by data from your report for better formatting before you export the report into Excel.

Here's how:

1. Go to the Reports tab.
2. Type the Transaction Detail by Account in the search tab to view the report.
3. Select the Group by, then click the X icon to clear the data.
4. Hit Save.
   
   
    
5. To export your report, click the export icon between the printer and the ellipses icon.
6. Select Export to Excel.
   
   

Additionally, ensure each piece of data is in separate columns. Include both the Distribution account and Account name columns. Also, filter the distribution accounts to include all Income/Expense accounts for running P&L accounts.

After exporting your file to Excel, you can manually customize the report to apply the desired pivot tables.

It's possible. Customize the Transaction Detail by Account report, set "Group by" to "None," and select only the fields you need. Then export to Excel - the result will be a flat, pivot-ready format without outlines.
