In QuickBooks Online, how do I adjust the trial balance so that the total for the subaccounts appears in the main account?

Hi there, Yaser. While QuickBooks Online (QBO) doesn't currently provide an option to consolidate subaccounts in the Trial Balance report, exporting and using Excel provides a workaround solution.

 

Let me provide further details about this and guide you in exporting the report.

 

The Trial Balance report in QBO displays the main accounts and their respective subaccounts separately, along with their individual balances. However, it does not offer a feature to consolidate the subaccount totals into the main account. To view the combined totals for the main account and its subaccounts, you'll need to export the Trial Balance report to Excel and use formulas to consolidate the amounts. Here's how:

 

  1. In your QBO account, go to Reports
  2. In the search field, type in Trial Balance. Then, select the report. 
  3. Choose the Report period.
  4. Select the Export icon between the print and small gear icons. 
  5. Choose Export to Excel.

 

Once exported, consider using Excel formulas to consolidate the subaccount amounts to appear in the main account.
