I need to collect W-9 info for a contractor.  Is there a way that works to send a second e-mail request?

Hello there, Cathy.

Allow me to share information regarding email invitations in QuickBooks Online (QBO).

First off, if the reason why you want to set up an email reminder is for your contractors to notice the invitation, it's currently unavailable in QBO. However, if you want to send them reminders because they didn't receive the invitations, I have a few pieces of information to share with you.

Here are the possible reasons why your contractors didn't receive the email invitations:

  • The invitation might be in their junk or spam folder.
  • The company's email address is incorrectly formatted in Company Settings.
  • The recipient's mail servers might be blocking the email.
  • The invitation may have already expired.

As a workaround, yes we can resend the invitation to your contractors and I'd recommend notifying them that you've already sent the invite.

On the other hand, if they can't receive your email invitations, it's possible that their mail servers block emails from Intuit. You can ask them to whitelist QuickBooks Online's email server hostnames and IP addresses which are listed in this article: QBO Server Hostnames and IP Addresses.

In addition, here's an article that'll guide you in different ways of paying your contractors QuickBooks Online: Pay your contractors.

Should you have additional queries with regard to inviting contractors to QBO, please feel free to hit the reply button or post a new question here in the Community. I'm always around to assist you further. Have a wonderful day!

My contractor isn't receiving the email to sign up. It's a basic gmail account. Why won't it work?

Hello there, qcestateplanning. I'm here to provide details to help you set up a contractor in QuickBooks Online (QBO).

Let's start by asking your contractor to check their junk mail and spam folders to see if the invite email is there.

If they can't find it, you can send them a reminder via email to fill out the W-9 form. Here's how:

  1. Go to the Payroll menu, then Contractors.
  2. Select your contractor.
  3. Tap the Send reminder from their profile.
  4. Check the email address, then tap Send reminder. The contractor will receive a new invitation.

For more details about this process, see this article: Invite a contractor to add their own tax info.

However, if the issue persists after re-inviting them, I suggest contacting our Customer Care Team. One of our experts has the necessary tools to check your account securely and perform a screen-sharing session to investigate this behavior further. Visit this resource that contains the time when the support is available, depending on your type of subscription, or you can get their number in this article: Contact Payroll Support.

Just in case you want to learn more about how to manage direct deposit for your contractors, you can read through this article for more details: Manage direct deposit for your contractors.
