I have contractors that no longer work for us.  When I try to change their status to inactive I get the error "unable to mark contractor inactive"

Hi @jenniferjjl,

This error usually occurs if the contractor has unprocessed payments or incomplete transactions. To fix it, ensure all bills and payments related to the contractor are fully processed. If they have direct deposits pending, those need to be completed first. After clearing everything, you should be able to mark the contractor as inactive.

I know how to deactivate a contractor in QuickBooks Online (QBO), Jennifer. I'll provide details below.

This error happens when the contractor has outstanding transactions like unbilled charges. To resolve this issue, follow these instructions to view the Unbilled Charges report and check for any transactions that require closure.

Here's how:

  1. Navigate to the Reports section and enter Unbilled Charges in the Search field.
  2. Ensure the date is set to All Dates.
  3. If there are outstanding charges, click to view the transaction.
  4. Depending on what's most applicable, you can invoice it, assign it to a different contractor, or delete it.

If there are no outstanding charges and problem continue, we can perform troubleshooting steps to resolve this. There are times when the browser is full of frequently accessed page resources, which causes some errors or unusual responses.

Let's start accessing your account using a different or private browser. You can use either of these shortcut keys:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Shift + N

Once logged in, try to deactivate the contractor again. If it works, I recommend clearing your browser's cache. Doing so will remove the historical data and access QuickBooks with a clean slate. You can also switch to a different supported browser.

I've added some resources to help you manage contractors, their payments, reports, and more:
