want deactivate bank account. Says there is balance or it is a default account used in my chart of accounts or it's used in automated workflow (cant find)?

In deactivating an account, Kathy, some factors need to be considered. I'm here to guide you through the process and discuss why you can't remove the said account.

 

Once you set up your QBO account, the system automatically generates default accounts depending on your business industry and setup. They're essential for your company's business type and workflow.

 

That said, the system prohibits these accounts from being removed. They are as follows:

 

  • Undeposited funds
  • Opening balance Equity
  • Retained Earnings
  • Inventory/Stock Asset
  • Cost of Goods Sold/Cost of Sales
  • Sales of Product Income
  • Reconcile/Reconciliation Discrepancies
  • Unapplied Cash Payment Income
  • QuickBooks Checking

 

If the account you're trying to deactivate is one of the accounts above, it explains why it can't be disabled.

 

On the other hand, there are also accounts on your Chart of accounts (COA) that can be merged to remove them from the system. They're the Billable Expense Income and the Markup accounts.

 

Please refer to the Accounts that can be deleted by merging section of this link for more information: Manage default and special accounts in your QuickBooks Online chart of accounts. It also lays out complete information regarding the default accounts.

 

However, if not listed above, that account must been connected to a product or service item, contain transactions with pending charges, have been linked to recurring transactions, or have a sub-account.
