We created a bill and paid the bill through QB online - now the transaction is showing as a deposit in Bank transactions and it will not give me the option to match it

Why is not showing up when I try to match to the paid bill?

Welcome to the QuickBooks Community, Joanna. Let me share insights on why you're unable to match your bank transactions to a bill in QuickBooks Online (QBO).

 

In QBO, we can't match deposits to a paid bill since they can only be matched to invoices and other A/R transactions. 

 

If your expenses are showing as deposits on the Banking page, please know that we rely on the information provided by your financial institution, and we're unable to change them. However, we'd appreciate it if you could provide us with the bank's name so we can search for ongoing investigations in our system.

 

If you are referring to invoices, transactions may not be able to match existing records due to the following reasons:

 

  • The amounts or dates don’t match.
  • The transaction is beyond six months.
  • The bank account on the payment is different from the bank where the match is located.
  • The payment is reconciled.
  • The record is already matched to another transaction. 
  • There are multiple currencies involved, and the exchange rate has shifted significantly, making the amounts very different.

 

I suggest reviewing the transaction details and checking if any of the above scenarios apply.

 

Additionally, you can categorize transactions to help identify tax deductions and tell you where your business makes and spends money.
