What is the fastest way to adjust expense types? need to change 300+ expenses over from the old expense type to the new one the transactions are already approved

 We had an expense type "Job Supplies" That we are moving away from and migrating over to "Supplies and Materials" we have over 50K in expenses attached to Job Supplies that we need to migrate over to Supplies and Materials for 2023 and 2024. Looking for the most efficient route to adjust these.

Hi there, Brian. I'll share some instructions to help you change the expense type of your transactions efficiently.

 

If you're referring to your categorized transactions, please follow the steps below to update the expense type by batch:

 

  1. Go to the Expenses menu, then choose Vendors (Take me there).
  2. Click a vendor.
  3. Check those expenses from the bank.
  4. Hit the Categorize option.

  5. A window will appear. Click the dropdown button.
  6. Search and select Supplies and Materials.

  7. Click on Apply.

 

If you're referring to item expenses you manually created in QuickBooks Online (QBO), you'll have to do it manually. as there's no option to do it by batch. However, you can look for a third-party app that you can integrate with your system to manage your expenses. 

 

Here's how to search for an app within your program:

 

  1. Go to the Apps menu, then select the Find Apps tab (Take me there).
  2. Type in the keyword in the search bar to look for an app.
  3. Select an app from the list.


You can also run reports to monitor your expenses in QBO.
