Question

When I get payment, I posted Journal , received payment, and deposit. So the amount is triple on my balance sheet. Advise which do I have to post to avoid duplicate Pls.

Let's work together so you can accurately handle this situation and record the payment seamlessly in QuickBooks Online (QBO), lleawe.

 

When your customers pay their existing invoice, you can directly record an invoice payment in QBO to mark it as paid and clear off the customer's balance. On the other hand, to have accurate data on your balance sheet, let's keep the recorded payment and delete the manually created deposit and journal entry.

 

To start, let's delete the manually created deposit:

 

  1. Log in to your QBO account.
  2. Go to the Gear icon and pick Chart of accounts.
  3. Locate the account where you've recorded the deposit or search it by entering the account's name on the Filter by name or number search bar.
  4. Hit the View register under the Action column. Then, click the Deposit.
  5. Tap Delete and confirm the deletion by selecting Yes.

 

Next, let's delete the journal entry:

 

  1. Look for the account you've created the journal entry for on the Chart of accounts.
  2. Hit View register. Then, locate and click the Journal entry.
  3. Pick Delete and confirm the deletion by choosing Yes.

 

Moving forward, kindly review the Accounts Receivable (A/R) workflow. This procedure ensures you can record the invoice payments correctly in the future.

 

  1. Generate and send an invoice to your customer.
  2. Use the Receive payment feature in QBO or deposit the payment into the Undeposited Funds account.
  3. Create a bank deposit to move the funds from the Undeposited Funds account to the accurate bank account.
  4. If you've connected your bank to QBO, match the downloaded deposit or payment on your feeds to the bank deposit you've created.

 

Additionally, you can also record and track your business expenses in QuickBooks. Doing so could help you manage your bills and have accurate expense data in the program.
