Question

When logging time, employees see a list of all Service Items. How can I limit the Service Items visible so they can only choose from ones relevant to their job?

I'm here to guide you on how you can limit the visibility of Service Items for employees when logging time, @jeremy-ils-softw

Assigning a job or customer to an individual or group allows them to track their time specifically for that particular job. If a team member is not assigned to a job or customer, they will not have visibility of it on their time card.

Here's how :

  1. In QuickBooks Online, go to Time, then Assignments
  2. Select the customer you want to edit.
  3. Assign or unassign:
    1. To assign, select Assign to all team members, or select Edit to choose team members. Then go back and Save.
    2. To unassign, uncheck Assign to all team members, or select Edit to unassign specific team members. Then go back and Save.

Hi Abegail,

Thanks for your reply. Those instructions appear to be limiting which jobs or clients an employee can charge.

My question is about "Service Items". An employee should not be able to choose from the entire list of Service Items; they should only be able to choose Service Items that they are able to perform.

Is there a way to limit which Service Items an employee sees?

I appreciate you getting back to us here in the Community space, jeremy. I understand the importance of ensuring employees can only select Service items that align with their capabilities.

Currently, this option is unavailable in QuickBooks. I can see how the functionality would be beneficial to your business.  I'd recommend sending a feature request directly to our Product Development team. This helps us improve your experience and the features of the program.

Here's how:

  1. Go to the Gear menu and then select Feedback.
  2. Type in your feature request in the description box.
  3. Once done, click on Next.

You can also track feature requests through the Customer Feedback for QuickBooks Online website.
