Thank you for posting to the Community and letting us know your concern with form W-9 in QuickBooks Online (QBO), finance.

I acknowledged the importance of inviting your contractors to fill out their form W-9 in a secure way. Based on your statement above, I can see that you have already sent an invitation to your contractor to sign up and fill up the form.

With that, please know that this course of action will initially give your contractors an option to share essential tax information with you. The forms are normally unavailable from their end until you submit them to the IRS.

To rectify the message they’ve received, please make them sure to use the correct credentials. If they’re unable to sign in, re-sending them an invitation would be the best option. Please avoid sending it multiple times to prevent this from happening again.

Furthermore, your contractors can start viewing their 1099-MISC once you submit this to the IRS. You can walk them through the steps outlined in Step 4: View your 1099-MISC in this article: Fill out a W-9 and view your 1099-MISC in QuickBooks Self-Employed.
