Question

When vendors invoice us via QBO, I can pay using my checking account. I don't want the my team to be able to do this. I don't see a user role that restricts this.

Looking for help in being able to restrict the specific banking pull authorization when my team members are logged in. I don't believe this to be Bill Pay. Can I limit this on the bank account level within QB? Thansk!

We'll assist you in modifying your team's current user access rights inside QuickBooks Online (QBO), Alex.

 

In QBO, you can create a custom role and apply it to your team members inside the company file. It allows you to customize which aspect of your business is accessible to them. However, please know that this option is only available for QBO Advanced.

 

If you don't have the option to create and assign custom roles to users, you can consider changing their roles to Standard limited customers and vendors or Standard no access. These user rules restrict people inside your company from accessing banking-related tasks, bookkeeping tasks, and more. In case you wish to proceed, we'll outline the steps to get you going:

 

  1. Access your QuickBooks Online company.
  2. On the top right corner, click the Gear icon and select Manage users.
  3. Select the Users tab, then find the user you want to edit.
  4. Click Edit from the Action column.
  5. Choose from the existing custom or QuickBooks roles.
  6. Select Save. If you edited permissions after selecting the role, you’ll be asked to save a new custom role. Enter a Role name and description, then select Save Role.
