Why and how did dozens of old invoices get updated within seconds on July 29, 2023?

We use an excellent product for consulting businesses called Accelo, which includes a slick QuickBooks integration. On July 29, the integration detected an update on dozens of old invoices and synced them, along with their parent clients, to our database. Most of these invoices dated back to 2020 or 2021, though a few were more recent. Was there some system-wide data update on that date? None of our users were active that day.

Since you mentioned the integration detects the update, it would be best to consult with the support team of your third-party provider (Accelo). They would have access to the necessary information and can check if there’s system maintenance or downtime.

We did consult with Accelo at length throughout the month of August, and their team did a deep dive into the data and found that their integration was working correctly. It had just responded to changes in the QuickBooks data. I quote, with paraphrasing for clarity, from Accelo support:

"The fact is still that something happened on the 29th, in QB, that caused us to receive a bunch of old stuff. I am in agreement with you, that nobody could have physically updated these records in QB, as it happened too quickly. It was some kind of mass change that was likely automated.

"We just react to QB telling us something changed, then go and grab those changes. So if you cannot see anything obvious in QBO, I would try and reach out to their support team to see if they can see anything in their data logs.

"The exact time this happened, which may be useful to them, was Jul 29, 2023 @ 13:32:36 EST."

I'm not interested in finger-pointing here; I just want to learn if this is something that might recur unless we change something about our settings or usage patterns in QuickBooks. If this is an unintended side effect of some one-time maintenance or updating at Intuit, no worries, we'll cope. But I'm mystified by the fact that only certain transactions were updated.

I'd be happy to help Intuit diagnose whether there's a serious issue here or not. I'd gladly convert this thread into a support ticket if that's the best course at this point, but y'all seem to prefer to push these conversations toward the Community route, so here I am.

Something similar recently happened to us with our Accounting API integration where 1000s of records were modified from up to 7 years ago giving us a bunch of bad and un-actionable data, yet there is nothing logged in any audit table or system log matching the time stamp that over 17,000 records were updated or by which means they were updated.

I recommend you check your API settings to see if any retroactive changes may have affected your records in QuickBooks Online. Also, it would be best to reach out to the support team of your third-party provider (API) as they have access to the necessary information and can check if there’s any system maintenance or downtime.

 

If there are no changes within the API, I suggest contacting our support team to investigate the issue further. Here's how you can reach out to them:

 

  1. Sign in to your QuickBooks Online account.
  2. Go to Help (?) located at the top of your screen.
  3. Select one of these options:
  • Click on the Assistant tab and select Talk to a Human.
  • Go to the Search tab and click on Contact Us to connect with a support expert.

 

Please note that support is available for Plus, Essentials, and Simple Start subscribers from Monday to Friday, 6 AM to 6 PM Pacific Time, and on Saturdays from 6 AM to 3 PM PT. For Advanced subscribers, support is available 24/7.
